The Club boasts two clubhouses featuring multiple private dining outlets, a full-service event center, two lakeside pools, two Bill Bergin-designed 18-hole championship golf courses, a 9-hole short course, a five-bay teaching facility, two fitness facilities, and a racquet sports complex with year-round access.

As a Culinary Administrator at Grasslands Club, your day-to-day will be a delightful blend of organization and culinary flair! Throughout the day, expect to manage food inventory, oversee kitchen operations, and assist with staff training to foster a positive and energetic work environment. Your schedule will primarily be Monday through Friday, with occasional evenings, weekends, and holidays needed for special events. First and foremost, proven experience in administrative roles within the food service or culinary world is essential. You should have a strong understanding of inventory management, ordering, processes, and billing procedures, making you a key player in ensuring our kitchen is well-stocked and organized. Excellent organizational skills and attention to detail are a must, allowing you to juggle multiple tasks seamlessly. Proficiency in Microsoft Office Suite, especially Excel, will help you maintain records and generate insightful reports. Exceptional communication and interpersonal skills are vital for working collaboratively with vendors, culinary staff, and management. Finally, the ability to work independently and proactively solve problems will set you apart, helping us create an efficient, positive environment that our members love!

Key Responsibilities:
Ordering & Inventory Management:

Oversee the ordering process for all supplies and menu ingredients for the clubhouse, event center and all outlets ensuring stock levels are maintained and orders are placed on time

Scheduling:

Develop and manage detailed schedules for culinary staff to ensure proper coverage and productivity

Record Keeping:

Maintain accurate and up-to-date records of all orders, deliveries, invoices, and inventory transactions

Supplier Coordination:

Communicate with suppliers to ensure timely delivery of goods and resolve any discrepancies or issues with orders

Reporting:

Assist in generating reports related to inventory costs, and operational efficiency for management review

Budget Management:

Collaborate with the finance department to manage budgets and track expenses for culinary operations

Compliance & Quality Control:

Ensure that all administrative tasks align with club policies, food safety regulations, and quality standards

Administrative Support:

Assist with administration tasks to support the Executive Chef in the operation of the culinary operation.

Qualifications:

Proven experience in administrative roles within food service, supply chain, or culinary operations Strong understanding of inventory management, ordering processes, and billing procedures Excellent organizational skills and attention to detail with the ability to manage multiple tasks simultaneously Proficient in Microsoft Office Suite (Excel, Word, etc.) Exceptional communication and interpersonal skills with the ability to work effectively with vendors, team members, and food & beverage managers Ability to work independently and proactively solve problems High school diploma or equivalent required; additional certifications in food safety or administrative functions are a plus

Preferred Skills:

Experience in scheduling software or managing staff schedules Knowledge of food production operations or working in a kitchen environment Familiarity with budgeting, cost control, and financial tracking Ability to adapt to a growing and evolving business with new product lines and projects
