Job Description
Production Administrative Assistant 3.7 3.7 out of 5 stars Rocky Hill, CT 06067 • Hybrid work As a Production Administrative Assistant, you will play a key role in supporting the production process, ensuring accuracy, efficiency, and seamless execution of client deliverables. You will assist with order management, offer creation and shipping coordination while gaining valuable industry knowledge and insight into AMG’s business operations. Main Duties and Responsibilities • Client Delivery Assist with production order opening, leveraging our Utopia+ order management system, as well as our Workfront production and project management system. Support the coordination of production jobs, including coupons, rebates and retailer load to card offers. Write copy leveraging client specific templates for Instant redeemable coupons (IRCs), mail-in rebates (MIRs), Promotion Center offers and other production based offers. Generate offer-specific barcodes, ensuring accuracy against offer details and purchase inclusions. Create purchase orders and shipping lists for print production order Items, including offers and point of sale materials. Send production asset proofs to clients for review and approval as needed. Estimate shipping costs and maintain oversight of shipping and claims for production job shipments. Assist in updating and managing client status trackers. Ensure programming follows all internal compliance documentation
Execution and Partnership:
Collaborate with AMG’s Project Management Office, specifically within the production work track. Support research assignments and special agency projects as needed.
Process Improvement:
Identify opportunities to enhance internal processes and participate in improvement efforts where appropriate. Subject to change based on business requirements Qualifications 2-3 years administrative experience, preferably In a production, marketing or operations setting. Proficiency in Microsoft Office products (Excel, Word, Outlook, Teams). Ability to manage and prioritize multiple tasks in a fast-paced environment. Strong attention to detail and accuracy. Effective organization, problem solving and communication skills. Comfortable working cross functionally and supporting multiple projects and resources . AMG is working in a hybrid-style.
