Essential Job Functions General Production Assist with pre-production logistics, including scheduling, resource allocation, and preparing shoot materials. Coordinate on-site production activities, including setting up locations, managing shoot timelines, and facilitating communication among team members. Support crew by addressing on-site needs promptly and efficiently. Manage inventory of production supplies, ensuring all equipment and materials are available and in working order for the shoot. Handle administrative tasks such as preparing call sheets, managing expense reports, and coordinating travel arrangements for cast and crew. Troubleshoot and resolve any issues that may arise to prevent delays in production. Source and prepare wardrobe, props, and accessories aligned with creative vision and project needs. Organize and maintain clothing racks, accessory kits, and styling supplies on set to ensure smooth wardrobe transitions. Ensure all wardrobe and props are cleaned, stored, and returned properly post-shoot. Stays abreast of industry trends Embodies the Hilton Grand Vacations Values of Hospitality, Integrity, Leadership, Teamwork, Ownership, Now, Completes all required Company training/compliance courses as assigned. Adheres to Company standards and maintains compliance with all policies and procedures. Performs other related duties as assigned. To fulfill this role successfully, the individual should possess the following qualifications, knowledge, skills, abilities, and experience: Familiarity with photo and video shoot workflows, including pre-production, on-site execution, and post-production processes. Prior experience in production coordination, event planning, or a similar role in the creative field with a exposure to styling. Knowledge of styling techniques, wardrobe organization, and handling props/accessories. Excellent organizational skills, with a keen eye for detail to manage complex, multi-faceted projects. Strong communication and interpersonal skills to liaise effectively with talent, and production teams. Problem-solving skills to address on-site challenges efficiently and proactively. Basic administrative and clerical skills for managing call sheets, expense reports, and production documents.
