What You’ll Be Doing As a Touring Production Assistant , you’ll provide accurate and efficient clerical and administrative support to the Touring Department. You’ll be instrumental in preparing formal proposals, tracking logistics, and ensuring seamless communication for our tours and shows. ✅ Proposal Preparation

  • Prepare formal proposals for prospective clients from quote information provided by Account Executives, utilizing internal catalogs and databases. ✅ Quote Management
  • Ensure proposal information is accurate and properly categorized, submit for review, and issue authorized proposals to clients. ✅ Database Maintenance
  • Update Salesforce with quote information, revisions, dates, client details, scope, proposal amounts, confirmations, payment terms, and other relevant data. ✅ Tour Information Management
  • Maintain accurate tour information on SharePoint for easy access and collaboration. ✅ Client Coordination
  • Deal directly with clients for Certificates of Insurance (COI) for each tour/project and follow up on past due accounts. ✅ Billing & Invoicing
  • Coordinate invoices for damaged gear with Operations, bill clients accordingly, calculate accurate taxes based on routing, and track/invoice all touring billing and tech expenses. ✅ Deadline Adherence
  • Consistently adhere to task deadlines to ensure efficient workflow and project completion. ✅ Communication
  • Communicate critical information to clients and internal staff regarding the status of tours/shows or other related issues as directed.

What We’re Looking For Proven experience in an administrative or clerical support role, ideally in a fast-paced environment. Exceptional organizational skills and a meticulous eye for detail. Strong proficiency in data entry and experience with CRM systems (like Salesforce) and SharePoint. Excellent verbal and written communication skills for interacting with clients and internal teams. Ability to manage multiple tasks, prioritize effectively, and meet deadlines. A proactive approach to problem-solving and a willingness to learn cutting-edge technology.
