Full Time Job Summary:
Swaybox Studios is seeking a highly organized and technically skilled ShotGrid / Flow Production Tracking Specialist to lead the setup, implementation, and maintenance of our production tracking infrastructure across the life of a show. This role is pivotal in ensuring real-time, accurate visibility into assets, shots, sequences, and tasks-keeping the studio’s hybrid workflows moving efficiently and collaboratively. You’ll be responsible for building our ShotGrid or FPT tracking system from the ground up , based on input from the Show Producers , VFX Supervisors , and department leads. Once in place, you’ll support teams across production, technical, and artistic departments to keep schedules aligned, tasks accounted for, and data clean and actionable. Key Responsibilities:
Build and maintain ShotGrid / Flow Production Tracking systems from scratch for each project, including all required modules (assets, shots, sequences, tasks, bids, etc.). Work closely with department leads and production crew to implement the project timeline and define production tracking requirements. Create customized pages, dashboards, filters, and workflows tailored to the specific needs of supervisors, artists, and production coordinators.
Import and maintain essential data:
assets, bids, sheets, milestones, and delivery statuses. Monitor progress across departments and ensure data integrity throughout the show’s lifecycle. Identify tracking issues or workflow bottlenecks and work proactively with leadership to resolve them. Provide ongoing support, troubleshooting, and training to artists and team members using the ShotGrid/FPT system. Contribute to evolving internal tracking templates and best practices for future productions.
Required Qualifications:
Proven experience building ShotGrid (or Flow/FTrack/Proprietary systems) from the ground up in a production environment. Prior work experience with ShotGrid scripting (Python API or Action Menu Items) to automate processes or extend system functionality. Strong working knowledge of VFX and animation production pipelines , from asset builds to final shots. Demonstrated organizational and project management skills , with attention to detail and a proactive attitude. Comfortable navigating and maintaining complex databases, spreadsheets, and version-controlled production systems. Excellent communication skills and the ability to translate creative goals into actionable technical structures. Previous experience working with or supporting film, episodic, or high-end animation productions .
Preferred Qualifications:
Experience supporting hybrid pipelines , including CG, animation, puppetry, or compositing-heavy projects. Ability to adapt tracking tools to suit proprietary workflows or emerging technologies.
