Office Production Assistant Bowstring Studios Conshohocken, PA 19428 Job Description Bowstring is a full-service content studio that produces dynamic video and photo work across branded, commercial, and original content. We are currently seeking a highly organized, outgoing, and proactive Office Production Assistant to support our Production team. This dual-role position plays a key part in both day-to-day office operations and hands-on production support. As our Office PA, you’ll assist Producers with the administrative coordination of upcoming shoots — from creating call sheets to organizing meals and vendor logistics. Simultaneously, you’ll be the go-to presence in the office: opening and closing the studio, managing mail and office supply runs, and keeping things running smoothly for our internal teams and visiting clients. This role is ideal for someone looking to build a career in production, who thrives in fast-paced environments, and isn’t afraid to roll up their sleeves and jump into a variety of tasks. Key Responsibilities Collaborate with Producers on pre-production logistics, including creating call sheets, coordinating on-set catering, and organizing crew needs. Maintain clear documentation and help organize production-related information, assets, and schedules across multiple projects. Assist in the upkeep and organization of the gear room, ensuring equipment is clean, functional, and ready for use. Conduct local runs for rental gear pick-ups, vehicle maintenance, craft services, office supplies, and other time-sensitive errands. Support the crew on set as needed, stepping into trained roles such as Grip, 2nd AD, Photo Assistant, etc., depending on the production. Serve as a first point of contact at the office — greeting guests, accepting deliveries, managing incoming mail, tracking outgoing shipments, and assisting with general communication and scheduling needs. Coordinate office maintenance, building repairs, and upkeep of company properties. Manage reservations for and maintenance of the company apartment. Obtain quotes, manage vendor relationships, and oversee maintenance projects—while keeping the team informed of timelines and progress. Keep a clean, organized, client-ready office space—including restocking supplies, managing snacks and beverages, and tidying shared areas. Coordinate logistics for special meetings and events, including meal planning and setup. Oversee the company vehicle fleet, including maintenance, reservations, and usage logs. Keep detailed logs of messages from the company phone and ensure proper follow-up. Requirements A strong interest in pursuing a career in video production, with a willingness to learn and grow within a creative studio environment. Excellent organizational and time management skills, with the ability to manage multiple tasks simultaneously. Strong attention to detail and accuracy in both administrative and hands-on work. Proficient in using office productivity software (e.g., Microsoft Office Suite, Google Docs, Sheets, Zoom, Slack, etc.) Ability to work independently, take initiative, prioritize tasks effectively, and solve problems proactively in dynamic situations. Clear and confident communication skills; comfortable interacting with clients, vendors, and team members. Willingness to travel to nearby production sites (PA, NJ, DE, NYC) as needed. Flexible schedule and availability, particularly during production periods, may include early call times or late wraps. Ability to work collaboratively with diverse teams, contributing positively to both set and office culture. A valid driver’s license and access to a reliable personal vehicle for local production and office needs.
