Quality Coordinator
JOB SUMMARY
The Quality Coordinator supports the activities of the Precision Measurement Group (PMG) Quality and Training Team by managing the administrative aspects of established processes. Management of these processes include collecting and distributing information, updated forms and records, and working with key personnel to ensure progress. The Quality Coordinator may be called on to perform additional duties as requested by management. Occasional travel and overtime are requirements of this position. The Quality Coordinator reports directly to the Director of Quality and Training and works closely with the Senior Quality Manager, Quality Team, Service Managers, and Technicians.
ESSENTIAL FUNCTIONS
Manage Proficiency Testing (PT) – Enter PT information into GageSuite and create Sales Orders. Notify branch personnel of expected PTs. Ensure tests are completed in a timely manner. Provide instruction on how to record data, including the use of third party systems. Share data with Senior Technical Quality Manager or designee. Upload all records to the shared Quality Team folder. Manage Customer Feedback – Record data on completed survey cards in spreadsheet. Initiate a Complaint in GageSuite for any ratings less than a 3. Contact the source of the complaint for clarification, as needed. Monitor the progress of Complaints towards completion. Forward digital copies of completed survey cards or feedback to the appropriate manager(s). Save digital copies of survey cards and feedback to the shared Quality Team folder. Serve as a point of contact for incoming phone calls for the Quality Team, provide initial response and redirect as needed. Manage Corrective Action Requests (CARs) – Monitor the team email for notifications of out of tolerance standards and open associated CARs. Open CARs at the direction of the Senior Quality Manager based on inputs such as audit findings or Complaints. Assign CARs to a member of the Quality Team. Monitor the progress of CARs towards completion. Support activities relative to the Accreditation Body (AB) requirements. – Update forms and records, such as audit checkslists, in conjunction with the release of revised AB forms. Maintain current organization charts in support of AB and customer audits. Assist in the collection of information and records associated with AB audit preparation, audit findings, and/or branch relocation. Communicate revised scopes (scope renewals and expansions) to PMG and Corporate stakeholders and upload outdated versions to the shared Quality Team folder. Manage the distribution of nationally and internationally published standards (ASTM, ASME, ANSI, ISO, etc). – Serve as the point of contact for purchasing standards for the Service Branches and Quality Team. Launch GageSuite training events in conjunction with revised standards. Monitor the progress of Method Verifications towards completion.
ADDITIONAL RESPONSIBILITIES
Identify and document process improvements and best practices. Audit OTV process in conjunction with the Cert Review process. Maintain the Cross PMG directory. Act as administrator of the Omega environmental data platform Assist in the arrangements associated with training activities and meetings, as needed (lodging, meals, transportation, etc.). Support and carry out initiatives of the Quality Team. Other duties as assigned by management. Involvement in these activities will be based on both the strengths of the incumbent and the needs of the company.
EDUCATION & EXPERIENCE
High School Diploma or equivalent with 2 years related experience or a business related Associate’s degree. Excellent PC skill level including working knowledge of Gmail, Google Docs, Google Sheets and Google Slides. Experience with GageSuite including ability to navigate the system in order to locate pertinent information, create CARs, Complaints, work orders and check-in events or are capable of learning these and similar tasks. Able to successfully complete training on Understanding
