POSITION SUMMARY:
The Centre for Women has an exciting opportunity for a Jill or Jack of all trades who likes to learn new things, can wear many hats, and will be an integral part of our team. The position will require a multi-tasker extraordinaire who has stellar organization skills, written and oral communications expertise, and superb people skills. Primary responsibilities will be assisting the office with a diverse array of responsibilities including communications, grant writing, proposal writing, donor stewardship, and Board activities. The Advancement Coordinator will be a supportive force for the Centre’s innovative programs and services. The ideal person for the job will be a proactive problem solver with exceptional communication skills and meticulous attention to detail. He/She will have previous experience working in an office environment, performing administrative duties, grant writing and providing executive support. The position requires flexibility and foresight. Donor Perfect experience a plus. Willingness to learn is required.
MAJOR DUTIES
Advancement and Donor Engagement Support
- Provide essential support for Advancement functions, with a strong focus on donor relations and stewardship.
- Maintain accurate records of individual gifts and sponsorships in DonorPerfect, ensuring all donor data is consistently updated and tracked for reporting and outreach purposes.
- Generate timely thank-you letters weekly and prepare personalized acknowledgments to foster strong donor relationships.
- Create and distribute comprehensive monthly donor and sponsorship reports for the Executive Director and Finance Office.
- Play an active role in planning and executing donor cultivation events, appreciation receptions, and major fundraising events to engage supporters and enhance donor retention.
- Assist in pre- and post-event donor communications and support data capture and follow-up strategies to improve donor engagement.
- Coordinate meetings, conference calls, and internal gatherings—including logistics, agendas, catering, and materials.
- Draft professional correspondence, reports, and presentation materials as needed.
- Record, transcribe, and distribute minutes for internal meetings and leadership team sessions.
- Manage and regularly update the grants calendar to monitor upcoming deadlines, reporting schedules, and renewal opportunities.
- Collaborate with program directors to prepare and submit grant reports and assist with proposal components when needed.
- Provide hands-on support for special events, including the annual Gourmet Feastival, Waves of Change Women’s Leadership Luncheon, and other organizational initiatives—helping with logistics, donor tracking, communications, and day-of coordination.
- Ensure event outcomes are accurately tracked in DonorPerfect and used to inform future engagement strategies.
- Uphold a high level of professionalism, discretion, and confidentiality in all interactions with stakeholders and handling sensitive materials.
- Foster positive relationships with internal teams, board members, donors, and community partners.
- Attend board meetings to record minutes, prepare meeting documents, and provide administrative support to ensure smooth and organized proceedings.
EDUCATION & EXPERINCE
- 3 years of experience in an administrative role.
- Superb written and verbal communication skills.
- Strong time-management skills and the ability to organize and coordinate multiple projects at once.
- Proficiency in Microsoft Office and other office productivity tools, with aptitude to learn new software and systems.

JOB REQUIREMENTS
This position requires successful completion of a Level II background screening and Drug screening. The ideal candidate should have basic proficiency in Microsoft Windows, Microsoft Office Suite, internet browsing, and email communication. Additionally, candidates must understand and adhere to network security policies and maintain confidentiality and security of electronic protected information. The role requires physical ability to lift up to 25 lbs. and perform tasks involving pushing, pulling, bending, stooping, talking, hearing, and seeing. Candidates must be able to travel to office locations as needed and have the ability to work from home when required. A flexible schedule is essential to meet consumer needs, and reliable transportation is a must. The position may also require availability for occasional evening and weekend work.
