Administrative Job Summary:
The Community Relations Sr. Administrative Assistant is responsible for a wide range of duties requiring a high degree of technical/computer skills and confidentiality. This person will provide support and assistance to the Community Relations Manager and staff for the company’s Donaldsonville and Blue Point Complexes in Ascension Parish, Louisiana. This position requires effective communication and interpersonal skills and will engage with Donaldsonville and Blue Point employees, CF corporate offices, and, as requested, with Ascension Parish community members and other CF sites.
Job Description:
Act as document control lead for Community Relations Department for the Donaldsonville and Blue Point Complexes. Prepare community investment/contribution documentation and route for approvals in line with company policies Distribute community contributions upon receipt from corporate accounting Maintain a community contribution database Prepare and distribute the following routine reports in a timely manner: Donaldsonville and Blue Point Monthly Community Relations Report Tracking and progress reports on community relations activities Assist in monitoring budget adherence for Donaldsonville and Blue Point Community Relations activities and contributions/community investments. Work with Accounting to monitor, generate and compile reports, as necessary, in fulfillment of multi-budget adherence Provide monthly monitoring reports of the Community Relations Manager’s budget Provide assistance to the Community Relations Manager and direct reports, as requested. Schedule and provide assistance for meetings/appointments. Provide logistical assistance as needed for site tours provided by Complex staff. Assist with preparing presentations and documents for monthly reporting. Handle incoming telephone, messages and emails. Compile incoming and outgoing correspondence and reports. Communicate with and assist the Community Relations Manager’s staff as necessary. Provide assistance on Blue Point and Donaldsonville community events, public meetings, nonprofit partner events, and any other volunteer events, including local travel to pick up/deliver supplies and other event materials. Provide assistance to the Donaldsonville and Blue Point IMTs as needed. Assist with and coordinate/interface regarding designated activities for Donaldsonville and Blue Point sites. Assists in generating presentation materials. Develop/track itineraries for department manager and team, as needed. Assist in scheduling and managing visitors and tour groups. Arrange travel for Donaldsonville personnel (assist Executive Administrative Assistant, as needed.) Arrange air, hotel, and car rental for employees through Direct Travel using Concur search engine, as needed. Manage Travel Profiles for Donaldsonville employees who travel for CF Industries, as needed. Assist other CF Donaldsonville departments, as needed. Provide assistance to other departments as a back-up, resource and/or heavy workload support. Purchase goods and services with “P” card.
POSITION QUALIFICATIONS
Bachelor’s degree or equivalent combination of education and experience. At least 5 years of experience in administrative support. Demonstrated ability to work with and maintain confidential information. Ability to adapt to changing environments and handle multiple priorities with little supervision. Excellent organization, communication, presentation, and interpersonal skills. Excellent writing and analytical skills with strong attention to detail and accuracy. Excellent computer skills including Microsoft Office software. Ability to work overtime, including nights and weekends, as needed, to support department events and community meetings. Must be able to acquire Transportation Worker Identification Credentials (TWIC). The ability to prove drug and alcohol free at random or for cause.
