Job Description

Administrative & Community Relations Coordinator The City of Ocean Springs Ocean Springs, MS 39564 GENERAL PURPOSE The Administrative & Community Relations Coordinator is responsible for implementing and managing the City’s comprehensive communications and public affairs program. This position enhances the understanding and awareness of the City’s programs, services, and projects by overseeing public information and acting as the City’s primary spokesperson. The role focuses on active communication and engagement with residents, businesses, and visitors, and supports efforts to maintain clear communication with stakeholders. The coordinator will also provide core administrative support activities to the Mayor and Board of Aldermen.

ESSENTIAL DUTIES AND RESPONSIBILITIES

§ Performs administrative duties including a variety of routine and complex clerical and administrative work to assist the Mayor with assorted city business, external affairs/communications, website updates, including confidential materials. Fields telephone calls, schedules for the Mayor and Board of Aldermen including travel, coordinates meetings on behalf of the Mayor or Board with committees or other groups, composing correspondence, remitting purchase order requests on behalf of the Mayor and Board, assisting with mail-outs, receiving and distributing mail for the Mayor’s office, receiving and directing visitors. § Writes and distributes press releases, newsletters, and articles to inform the public about City news and events. Serves as the City’s primary point of contact for media inquiries and public information, coordinating responses to ensure accurate and timely communication on behalf of the City. § Provides assistance as needed to the Ocean Springs Chamber of Commerce in support of City sponsored special events, such as annual holiday events and Fridays at the Fort, which are planned and coordinated by the Chamber. § Receives Special Event permit applications for community events, runs/walks, and festivals, and schedules and leads internal meetings to coordinate necessary city resources. § Manages and updates the City website to ensure timely and accurate information for residents. Posts emergency notices, event details, press releases and photographs. Coordinates with department heads to keep departmental content fresh and informative, and that all forms, meeting minutes, and city ordinances/codes are current. § Develops media image and outreach efforts; manages and monitors social media sites for content. § Writes email blasts to constituents on behalf of the Mayor and Aldermen to keep them up to date on city projects and events. § Assists Aldermen with administrative tasks and interactions with neighborhood associations (when appropriate) and facilitates communications to the press regarding priority projects in their respective wards. § Assists the Mayor with interactions, events, ribbon cuttings, State of the City and other speeches, and correspondence with external organizations, such as other cities, state government, chambers of commerce, church groups, volunteers, and matters relating to hurricanes or other disasters or emergencies. § Facilitates the activities of the Mayor’s Youth Council, including organizing monthly meetings, identifying and implementing appropriate projects and activities, interfacing with department heads and the Mississippi Municipal League. § Assists the Mayor with collecting data and information for public presentations, and helps prepare PowerPoint presentations, flyers, and other information for the public and media. § Attendance at the two monthly meetings of the Mayor and Board of Aldermen, held on the first and third Tuesdays of each month in the evening is required. § Reporting to the Emergency Operations Center during storms or other disaster events is required to assist with coordinating communications with the public and other agencies. § Will perform other duties, at the direction of Mayor and/or the Board of Aldermen, which may not be specified herein.

MINIMUM QUALIFICATIONS

Education and Experience § Bachelor’s degree from an accredited college or university in Communications, Marketing, Journalism, Public Relations, or a related field of study and two years of relevant experience OR § Four (4) years of related experience, preferably in the public sector with a local government agency in communications and public relations. Necessary Knowledge, Skills, and Abilities § Must have strong interpersonal skills and a team attitude, exhibit professional manners and attire, and present the city, administration, and Mayor’s office in a positive light in and out of the office. § Excellent public relations skills. § The ability to multi-task is required. § Excellent time management is required. § Ability to establish and maintain effective working relationships with employees, supervisors, other departments, officials, and the general public. § Ability to communicate effectively verbally in public setting. Excellent writing skills. § Excellent customer service skills and ability to help citizens solve problems by following through with other departments on behalf of the citizen’s inquiry. § Proficient in Microsoft Office applications, Outlook, Word, Excel, and Power Point. Extensive software skills are required, as well as Internet research abilities, email, and strong communication skills, verbal and written.

OTHER REQUIREMENTS

Must have and maintain a valid driver’s license.

WORK SCHEDULE

Office hours are Monday through Friday 8:00 a.m. to 5:00 p.m., some evening and weekend hours will be required to fulfill the duties of this position. When possible, a flexible schedule will be employed within the workweek to accommodate evening and weekend hours.
