Position Overview Primary Function:

The Office and Communications Manager coordinates the functions of the Office of Student Life and Dean of Students, serves as the primary coordinator of office management and communications for the Dean of Student Division, and works collaboratively with the Dean of Students Leadership (DoS) Team to ensure that student life initiatives receive the organizational support necessary in order to be successful. This position reports directly to the Vice President of Student Life and Dean of Students (VP/Dean). The individual in this position maintains a highly organized office environment and works closely with the VP/Dean to ensure effective and efficient management of the division’s resources, processes and procedures. In collaboration with the VP/Dean and the DoS Leadership Team, this individual coordinates the development and dissemination of most communication for the Student Life division using a variety of media. In addition, the Office and Communications Manager meets regularly with the DoS Leadership Team and assists the VP/Dean to ensure that strategies are in place to ensure divisional goals are met in support of the University mission. This position requires a person with strong communication and interpersonal skills who can work independently and cross-functionally within the division, with all other University departments, University administration, and outside vendors. This position works with considerable independence and self-direction. Only general direction and scope of the work to be accomplished are discussed with the supervisor. The staff member is expected to independently carry out position duties and understands what is expected and how to do it.

C Full-Time Exempt Position Description Typical Duties & Responsibilities:

Administrative and Office Management Support Organize and monitor the deans’ schedule, including maintaining the calendar, organizing travel, and setting the day’s agenda and materials. Assist the deans in organizing meetings, including reserving spaces and creating Zoom meetings as appropriate. Act as liaison between the deans and members of the staff and with students Serve as the first point of contact in the deans’ office providing a positive image of the organization Monitor and screen calls and mail into the office Assist the deans with correspondence internally and externally Oversee confidential hard copy and electronic records on behalf of the Dean of Students office. Keep updated contact information for the division Answer questions concerning academic and disciplinary issues, deadlines, and policies and procedures. Partner with Community Standards to manage disciplinary sanction completion by communicating with students and running reports. Assist other members of the dean of students office staff as needed during times very busy times of the year Answer questions and provide some training to newly hired employees in our division Budget Management Manage, monitor, and track budget transactions (check request, purchase request, contracts, catering orders, expense corrections, transfer of funds) and generate monthly budget reports. Allocate/reconcile procurement card charges for dean and supporting staff in a timely manner. Manage and process staff professional development travel and travel expense reports. Track receipt and distribution of items to be signed by the deans Project Management and Data Analysis Collect, compile, and analyze data related to student life, such as events and for retention, conduct or CARE team reports. Assist with compilation of mid and end-of-the year student life reports for distribution to various constituents. Events, Communication, and Social Media Management Make arrangements for social events sponsored by the deans of students Work with other offices to coordinate events and communication Act as liaison between the dean of students office and other university offices or external groups. Resolve problems and respond to inquiries concerning policies and procedures. Use judgment to relieve administrators of many administrative problems. Coordinate the process for selection of Commencement and Foundation Day awards. Assist with maintaining and updating student life webpages Other duties as assigned.

Judgment and discretion as to the use of established policies are required to perform the essential duties of this position.

Budgetary Responsibility:

Monitors expenditures against budget; prepares budget data for review/approval by supervisor/department head.

Successful Candidate Education:

Bachelor’s degree plus three or more years of related full-time experience and/or training required

Experience :

5 years general clerical experience

Job Related Skills:

Strong computer skills, including word processing and other online systems, detail oriented, organization and communication skills
