POSITION DESCRIPTION
Position:
Member Services Manager•Component Relations Focus Reports to: Senior Association Manager•We are Solutionaries. Parthenon Management Group is an association management company offering management services to professional medical and scientific societies. The Member Services Manager supports PMG’s goals, values, and philosophy by exhibiting the following behaviors: excellence, quality service, commitment, and accountability. As a member of the PMG team, performance includes demonstration of the following accountabilities: communication, teamwork, and job knowledge. The position performs high-level administrative and management duties necessary to provide member services to professional societies managed by Parthenon Management Group. The Member Services Manager is responsible for frontline customer service, collaborating with the team to provide support of client committees, communicating with the membership, and component relations responsibilities.
PRIMARY DUTIES AND
RESPONSIBILITIES, include the following but are not limited to:
Component Relations Support:
Manage the public Component Relations calendar in Higher Logic, including Office Hours and trainings reminders, and coordinating chapter and region event submissions. Lead component leader trainings, such as monthly Office Hours, including tracking attendance, taking notes, or sharing recordings, and ensuring follow-ups are communicated. Manage and maintain leader contact rosters, database coding, and access permissions to tools such as Billhighway, Pillar rosters, and AIA provider credits. Lead the annual Leader Roster Update process, including creation, promotion, and data integration into internal systems (e.g., Pillar). Support chapter closures, transitions, and boundary updates, ensuring all documentation and communications are accurate and timely. Lead the Annual Check In process, including creation, promotion, and data integration into internal systems (e.g., Pillar); work with Component Relations Sr. Manager on compliance follow-up and ends reporting.
Membership Support:
Support the membership application, approval, renewal, and inquiry processes. Maintain accurate membership databases, ensuring data integrity and timely reporting. Monitor member-facing inboxes and phone lines, responding to inquiries in a timely, professional, and helpful manner, and triaging as needed to the appropriate staff or department. Monitor member feedback and inquiries to identify trends and recommend solutions to improve satisfaction and retention. Lead member-focused programs, including community management, onboarding campaigns, and benefits delivery.
Communications and Community Engagement:
Serve as a liaison to component leaders, fielding one-off inquiries and ensuring a clear process for shared collaboration and knowledge sharing. Develop and moderate content in online community platforms (e.g., Higher Logic), focusing on component groups and transitions to microsites and Thrive. Collaborate with Marketing to feature component activities in newsletters, blogs, and social promotions. Develop and maintain clear documentation for component and membership support processes, including standard operating procedures, timelines, and templates. Identify and recommend process improvements to enhance efficiency, user experience, and internal collaboration across teams.
Additional duties as required:
Support CEO and leadership with special projects. Assist in the training and mentoring of new staff. Oversee operational aspects of Parthenon Management Group such as organizing staff meetings, cultivating a positive workplace culture, utilizing employee strengths through the coordination of blog writing and other relevant opportunities. Lead and/or participate in strategic plan focus groups. Other tasks as assigned.
EDUCATION AND/OR EXPERIENCE
Bachelor’s Degree from a four-year university or equivalent experience. Transparent and high integrity leadership. Solid, hands-on, budget management skills, including budget preparation, analysis, decision-making and reporting. Strong organizational abilities including planning, delegating, program development and task facilitation. Ability to convey a vision of the organization’s strategic future to staff, board, volunteers, and donors. Knowledge of fundraising strategies and donor relations unique to nonprofit sector. Skills to collaborate with and motivate board members and other volunteers. Strong written and oral communication skills. Demonstrated ability to oversee, train, and collaborate with staff. Detailed oriented with excellent organizational skills. Travel required.
Preferred:
Working knowledge of Microsoft Office Suite, specifically Word and Excel.
WORK ENVIRONMENT
Position is in an office setting that involves everyday risks or discomforts requiring normal safety precautions. On occasion, the individual must be able to do moderately demanding physical activity such as handling and opening boxes weighing 35-40 pounds, standing and walking extensively throughout the day. Limited to moderate travel is required.
