Full Job Description Position Overview:

As the first point of contact at Fox Den Country Club the Front Desk Receptionist & Communications Specialist plays a pivotal role in delivering an exceptional and welcoming experience for all members and guests. This individual sets the tone for the club environment, ensuring a warm, professional, and seamless introduction to the club. The ideal candidate is polished, detail-oriented, and thrives in a service-focused, fast-paced environment.

Key Responsibilities:
  • First Impressions Matter:
  • Greet members and guests with warmth, professionalism, and efficiency.
  • Maintain a poised, polished, and service-oriented demeanor at all times.
  • Anticipate and exceed the expectations of high-end clientele.
  • Communication & Coordination:
  • Serve as the central hub for all incoming calls, emails, and in-person inquiries.
  • Direct calls and messages promptly to the appropriate departments.
  • Provide accurate information regarding club amenities, schedules, and events.
  • Coordinate with various departments to ensure seamless communication.
  • Creating and managing engaging, timely, and visually appealing communications for members. This includes the development of the club’s monthly newsletter, weekly email updates, and other internal communications that keep members informed, connected, and excited about upcoming events and club offerings.
  •  Ensure all communications align with the club’s brand standards, tone, and visual identity.

§  Collaborate with design staff or use templates to maintain a polished, upscale look  Maintain an internal editorial calendar to ensure timely communication of events and club initiatives.  Develop engaging member spotlights, event recaps, and seasonal features.  Source and curate images, quotes, and highlights from around the club.  Serve as a point of contact for member questions or feedback related to communications.  Attend club events occasionally to gather photos, quotes, and insights for future newsletters.

  • Administrative & Operational Support:
  • Manage front desk operations including check-ins, reservations, and member assistance.
  • Maintain updated records of member profiles, preferences, and special requests.
  • Assist with scheduling, event sign-ups, and general correspondence.
  • Ensure the front desk area is immaculate, organized, and stocked with relevant materials.
  • Member Relations:
  • Foster a welcoming atmosphere that reflects the values and standards of the club.
  • Handle member feedback or concerns with discretion, care, and appropriate escalation.
Qualifications:
Required:
  • High school diploma or equivalent; associate’s or bachelor’s degree is a plus.
  • Prior experience in front desk, hospitality, or customer service roles.
  • Excellent verbal and written communication skills.
  • Professional, polished appearance and demeanor.
  • Strong interpersonal skills with a warm, welcoming presence.
  • Ability to multitask in a fast-paced environment with grace and efficiency.
  • Proficiency with office software (Microsoft Office Suite, Outlook, etc.).
  • Comfortable learning and using club management systems and scheduling software.
  • Proven experience in communications
  • Strong writing, editing, and storytelling skills.
  • Proficiency in email marketing platforms (e.g., Mailchimp, Constant Contact, or Club-specific tools).
  • Basic graphic design skills (Canva, Adobe InDesign, etc.

) are a plus.

Preferred:
  • Experience in a luxury setting (private club, resort, hotel, spa, etc.).
  • Familiarity with reservation systems, POS software, or member service platforms.
  • Knowledge of etiquette and standards related to private club environments.

Available shifts and compensation:

Available shifts all days except Sundays and Mondays. Compensation depends on your experience.
