The Meetings Content Coordinator should represent PMG’s core DNA traits: authentic, tireless, and fearless. The Meetings Content Coordinator performs high level administrative duties necessary to support the meetings management services PMG provides to professional societies. This position is responsible for supporting the Senior Meetings Content Leader, Senior Meetings Content Managers, and Meetings Content Managers and enhancing the brand of PMG and its clients as described below.

PRIMARY DUTIES AND RESPONSIBILITIES

include the following but are not limited to: Assists Senior Meetings Content Leader, Senior Meetings Content Managers and Meetings Content Managers with administrative needs and projects. Manages incoming and outgoing email and mail correspondence for clients. Works closely with the Business Analyst Information Technology development team and Meetings Content Department on enhancements to the association management system and mobile application. Creates supporting materials for submission website and association management system. Assists in testing submission database system prior to call for scientific proposals launching. Works closely with the Meetings Content Department in assisting with pulling and organizing data from submissions, presenters, and program committee. Prepares email communication templates for Content Managers. Assists in pulling all scientific presentations from the system and editing in the abstract book format, using APA guidelines. Works directly with the designated Meetings Content Managers on ensuring the program materials have all necessary information and is complete by the deadline. Manages series of reminders for presenters prior to the start of conference. Assists Meetings Content Managers in conference preparation: Walk-in Slides, Recording Title Slide, Presentation Upload Reminders, etc. Potential travel to client meetings, where needed. Performs other duties as assigned.

QUALIFICATIONS

EDUCATION AND/OR EXPERIENCE

Bachelor’s degree in management, business, event management, or a related area preferred. Previous experience working with non-profit societies. Previous experience working with academic/scientific meetings. Knowledge of membership database software helpful. Ability to learn such software quickly and to become proficient essential.

OTHER SKILLS

Good written communication skills. Excellent interpersonal skills. Mastery of Microsoft Office software. Must be well organized, have the ability to handle multiple assignments, and pay close attention to details.

WORK ENVIRONMENT

Position is in an office setting that involves everyday risks or discomforts requiring normal safety precautions. On occasion, the individual must be able to do moderately demanding physical activity such as handling and opening boxes weighing 35-40 pounds, standing and walking extensively throughout the day. Limited to moderate travel is required, including long hours on-site at conferences.
