Administrative Support & Marketing Associate Commodore Realty, Inc. 30 West Mashta Drive, Key Biscayne, FL 33149 Overview We are seeking a detail-oriented and organized Administrative Assistant to join our team for this in-person position. This role is essential in supporting daily operations and ensuring efficient office management. The ideal candidate will possess strong administrative skills, Adobe Illustrator experience a plus, and have a keen eye for detail. Run point on all marketing duties and projects of the Company, including design, pricing, implementation, and confirmation work is completed in an acceptable manner.
Schedule:
Monday to Friday 40 hours a week plus some overtime when needed.
Principle Duties and Responsibilities:
1) Manage/update all marketing material including, but not limited to: a. Keep all signage up to date. b. Create leasing posters designs and other marketing material/signage on Adobe Illustrator. c. Update/create posts for available spaces on Craigslist, Loopnet, Crexi. d. Social Media Marketing e. Update brochures & directory inserts. f. Update website 2) Create and implement marketing campaigns for prospective tenants including, but not limited to, a. Create call lists for target/prospective tenants/uses and cold calling those prospective tenants. b. Create and send mailings to prospective tenants. c. Create and implement other creative marketing ideas.
Daily Duties:
Greet visitors and make them comfortable while they wait for their appointment as well as help individuals that walk into the office. Answer the operator phone and direct the calls to the appropriate person in the office or take a message. You must arrange coverage for the operator phone before you leave on your lunch break and for other times you will be out of the office during office hours. Open mail/receive all packages and deliveries, discard all junk mail, and distribute mail to appropriate person in the office. Prepare daily deposits, make copies for Bookkeeper and take the deposits to the bank. Making Online/ Mail out
Bank Deposits:
- Make Deposits for NTB (Northern Trust Bank).
- Will be using the Panini X Vision Remote Deposit. Instruction on how to use the device is saved in the G Drive.
- Mail out deposit to specific banks as requested by accounting department.
Must make copies of check and deposit slip to have in your records to track when you mailed them. Qualifications Proven administrative experience with a strong background in clerical tasks and customer service. Proficient in Microsoft Office with excellent typing and organizational skills. Familiarity with Adobe Illustrator is a plus. Strong phone etiquette and experience with multi-line phone systems. Bilingual candidates are encouraged to apply.
