Administrative and Marketing Assistant EM Alliance West Palm Beach, FL Description Summary:

EM Alliance is a national, independent emergency medicine physician group founded by, owned by, and led by practicing emergency medicine physicians. We specialize in providing high-quality emergency care with a strong focus on interdepartmental collaboration and community partnerships to support patients across the entire continuum of care. We are seeking a proactive, resourceful, and detail-oriented Administrative and Marketing Assistant to support our West Palm Beach office. In this dynamic role, you will be responsible for managing key administrative functions and supporting our marketing and communications efforts. The ideal candidate is highly organized, tech-savvy, and comfortable multitasking. You’ll play a critical role in keeping our operations organized and efficient—from handling mail and managing inboxes to drafting newsletters and supporting our online presence. This is a full-time, on-site 1099 contractor position based in West Palm Beach, FL. The role offers a collaborative work environment, exposure to a mission-driven healthcare organization, and the opportunity to contribute to a fast-growing physician group with national reach. Key Responsibilities Open, sort, and scan incoming office mail; prepare and send outgoing mail and packages. Monitor and manage the shared “info” email inbox and office voicemail, responding to inquiries or routing messages to the appropriate staff members. Schedule and coordinate meetings, including preparing agendas and recording/distributing meeting minutes. Create and disseminate newsletters, including generating summaries of healthcare articles using AI tools for efficient content creation. Support social media and marketing initiatives by maintaining the company’s LinkedIn and Facebook pages and helping to create engaging content. Conduct online research to source and compile contact information for outreach and business development purposes. Perform general administrative duties (filing, data entry, organizing digital files, etc.) and provide overall organizational support to the team as needed. Qualifications and Requirements Experience:

At least 1 year of experience in an administrative or office support role (experience in a healthcare environment is preferred).

Technical Skills:

Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Familiarity with social media platforms (LinkedIn, Facebook) and comfort using them in a business context. Familiarity with using AI tools.

Communication:

Excellent written and verbal communication skills, with an ability to take clear meeting notes and draft professional emails/correspondence.

Organization:

Strong organizational skills and attention to detail, with the ability to manage multiple tasks, prioritize workload, and meet deadlines.

Adaptability:

Tech-savvy and able to quickly learn new software or tools (experience with marketing platforms or AI-based tools is a bonus).

Education:

High school diploma or equivalent (required). An Associate’s or Bachelor’s degree in Business, Communications, or a related field is preferred.
