You live in the details, and love performing clerical and administrative duties to support departments throughout the organization. The Sales and Marketing Assistant serves as a primary point of contact for the Company and is responsible for providing high-level administrative support to the Sales, Service and Marketing Departments.
Key Responsibilities:
Support Director of Sales, Service & Marketing and team of remote Sales Executives. Organize and assist in the onboarding of new Sales Executives. Assign leads to Sales Executives in coordination with Director of Sales, Service & Marketing. Work with the team to assemble bid packages for potential customers Maintain inventory of paper samples; coordinate with paper mills to order paper samples and dummy books. Assemble and mail sample packages (magazines, paper samples, collateral). Contract administration. Assemble and distribute order notification forms (ONFs) and manage communication of renewals and new sales to company through ONF process. Manage library of customer magazine samples, specialty samples, and award submission samples in coordination with Bindery and Quality Control Departments. Assist with annual awards programs, including selection and submission process.
Assist in maintaining eCRM database:
set up new publisher records and enter contact data; assist with keeping data current and accurate; oversee proper archiving of all documentation (contracts, credit approvals, purchase orders).
Support annual trade show program:
assist with event planning and preparation; assemble and execute show shipments; send pre- and post-show communications as needed. Manage social media program in coordination with
Director of Sales, Service & Marketing:
create monthly schedule of posts; create graphics as needed; draft posts; execute postings per schedule. Assist with maintaining and updating content on Lane Press’s main website and careers website. Assist with the marketing and promotion of job opportunities at Lane Press; prepare marketing materials for job fairs. Provide general support to Publisher Services for Lane Press’s third-party VAR partnership with BlueToad for digital publishing, including maintaining internal help documentation. Manage daily administrative tasks, including: greeting visitors; routing incoming calls and emails; preparing and editing correspondence, reports and presentations; and assisting with meetings and events. Other duties/tasks assigned by direct supervisor or any managerial staff member.
Education and Qualifications:
Associates Degree in Business, or Sales/Marketing-related field with a minimum of 3 years of experience in an administrative or related sales/marketing function. Proficiency in Microsoft Office Suite (Word, Excel and PowerPoint). Highly organized and proactive; accustomed to working in a deadline-driven environment. Excellent written and oral communication skills; strong interpersonal skills and ability to build positive relationships. Ability to work independently; demonstrates high-level of initiative.
