Referral Management Coordinator Charleston Oral and Facial Surgery 3700 Ingleside Blvd, Ladson, SC 29456 Position Summary The Referral Management Coordinator oversees day-to-day marketing and implant services efforts including, but not limited to, those outlined below. This position is full-time with working hours between 8:30a-5:00p Monday through Friday. Compensation is hourly between the range of $25

Position Responsibilities The primary responsibilities of this position are to execute the daily requirements of the practice’s marketing plan and targeted goals as determined by practice partners, Director of Marketing, Director of Implant Services, and this position. This position is hired for Charleston Oral and Facial Surgery and its associated Continuing Education program, and will also support the sister practice, Savannah Oral and Facial Surgery (SOAFS). This position will be responsible for the following: Assist in development of marketing strategy and execution for patient education and referral management, in tandem with related or comparable digital marketing activities Analyze and monitor referring provider performance via monthly meetings, working with Director of Marketing and/or Director of Implant Services, to track referral trends in new patient referrals, production, and types of service referred Report all metrics and strategy progress updates as related to referral management, including the management of the Continuing Education program, to Director of Marketing via established documentation, workflows, and meeting schedule Manage referral management programs and promotions as developed by and/or with the Director of Marketing to mirror all activities completed in the Charleston Territory Action referral management programs through in-office visits and/or digital correspondence through which relationships are reinforced, information regarding COAFS workflows and providers’ information and changes are articulated, and inter-office problems are troubleshot Use production and new patient referral trends to determine referring offices with whom COAFS needs to re-engage and plot action plan/timeline for re-engagement Identify new referring offices not yet affiliated with COAFS and plot action plan/timeline for establishing production flow Facilitate relationships between surgeons and referring providers by coordination meetings, lunches, happy hours, etc. Document all referring office visits/interactions to be compiled in master record (CRM) Update the practice management software, CareStack, with all current referring provider information for use in internal administrative and clinical workflows Develop, manage, and coordinate all Continuing Education program activities for the Southern Territory covering Bluffton, Hilton Head, and Savannah locations following an introductory period of support from Director of Marketing and Director of Implant Services Assist referring provider office teams with implant-related parts and/or tools drop-offs, chairside education, and facilitating in-house digital workflow participation under the direct guidance of the Director of Implant Services Manage vendor relationships with implant industry representatives in the Southern Territory in tandem with the standards and communication set by Director of Implant Services for the Charleston Territory Act as liaison between referring offices and COAFS and/or SOAFS Directors to ensure referring relationships are maintained in the event issues arise Identify local marketing opportunities for seasonal or annual area events suitable for promoting COAFS or SOAFS Assist Director of Marketing and/or Director of Implant Services in developing creative for print material/collateral/branded objects to be used in the promotion of the COAFS and/or SOAFS to referring provider offices Contribute content to Digital Marketing Manager for COAFS and/or SOAFS as related to engaging referring providers that follow the @coafs and/or @soafs handle Assist in development of video production so long as the content is wholly or partially intended for referral management-related marketing activities Manage inventory for all branded products for COAFS and SOAFS, e.g. comfort menu offerings, ice packs, pens, etc. and submit order requests to Director of Marketing as needed Deliver all COAFS and/or SOAFS branded items to office as requested in the ticketing portal, and as required by brand compliance standards Manage expense reporting for all company-required expenditures on a company-issued corporate credit card per existing expense reporting guidelines Qualifications The practice will expect that an applicant to the Referral Management Coordinator position has the following qualifications to ensure success: Excellent oral and written communication Extraordinary attention to detail Proficiency in visual aesthetics and design Strong organizational and asset/inventory management skills Willingness to learn, be coached, and accept constructive feedback Basic knowledge of MS Office Suite and Google Workspace e.g. Excel/Sheets, PowerPoint/Slides Demonstrated history of project management, autonomous work, B2B marketing Knowledge of marketing analytics and industry standard KPIs for B2B marketing Comfortable in clinical environment with exposure to surgical procedures Ability to travel daily using company-issue vehicle, typically within 1hr radius of home office Ability to travel to HQ in Ladson, SC as required by Director of Marketing and/or Director of Implant Services with advance notice 2+ years marketing experience, preferred 1+ years communications/public relations experience, preferred 1+ years customer service experience, preferred In-practice Network The Referral Management Coordinator will report directly to Director of Marketing and Director of Implant Services.
