Staff Position Summary:
The Performing Arts Administrative Support position fulfills operational, administrative, and logistical needs to the Music and Dance departments. This role manages adjunct faculty operations, event coordination, and serves as a liaison between instructors and the Kent School community.
Specific duties and responsibilities:
Coordinate adjunct faculty activities for Music and Dance programs, including time tracking, timesheet collection, lesson billing, related student purchases, and instructor payments. Support departmental faculty with budget management. Assist departmental faculty in acquiring teaching materials including music scores and theatrical scripts as well as performance rights for theatrical productions. Collaborate with the Director of Mattison to manage scheduling of that performance space. Oversee scheduling for all Center for Music Studies spaces. Manage scheduling logistics for the Acting Studio. Coordinate the After School Music Activity Program’s schedule and operations. Maintain faculty memberships in NAfME, CMEA, Tri-M, and MTNA for both full-time and adjunct instructors. Handle billing and assignment of rental musical instruments on a termly basis. Inventory, maintain, and schedule regular tuning for more than 16 pianos used in the music program. Oversee the private music lesson program from financial-aid support and signups through billing and student evaluations. Plan and coordinate concerts and recitals, including venue arrangements, refreshments, ushers, program printing, and event setup/tear-down. Manage all student music festival and performance trip logistics, including registration, fee collection, transportation, meals, and accommodations. Serve as a school liaison by sending weekly update emails to part-time instructors about holidays, school trips, and other relevant matters. Partner with the Communications Department to promote Performing Arts events through social media, school website, and messaging to families and the school community. Attend weekly department meetings which occur during the class day. Other duties as assigned.
Qualifications:
Bachelor’s degree required; background in music, performing arts, or arts administration preferred. Experience with administrative coordination, scheduling and/or office management. Strong communication, organizational and multitasking skills. Ability to collaborate with faculty, staff, and external vendors effectively.
Physical Requirements:
The physical demands listed below are representative of those that must be met by the employee to successfully perform the essential functions of the job: Written and spoken communication skills. Requires substantial movement (motions) of wrists, hands, and fingers with keyboard use. Visual acuity within normal parameters. Ability to lift and transport up to 25 lbs. without assistance.
Additional Requirements:
