Job Description
Animal Shelter Intake / Adoption Coodinator Northeast Georgia Animal Shelter 870 Bear Creek Rd, Lavonia, GA 30553 Under the supervision of the Director of Animal Shelter Operations, performs a variety of clerical and general administrative tasks in support of the animal shelter and staff. Prepares correspondence, maintains records and filing systems, prepares various reports and other documents and may assist in processing of accounts payable and receivable. Assists visitors and callers with information on department services and by responding to specific inquiries. May assist with other projects as assigned.
Hours :
Full-time, Tuesday – Saturday (9:30 AM – 4:00 PM) Pay rate : $14/hr Duties will include: Attitude of service and compassion. Prepares documents including typing of correspondence, forms and reports, flyers, brochures, and other materials.
Compiles data as needed for reporting or billing purposes. Maintains department filing and record systems. Processes various administrative records. May serve as receptionist and greet the public in person as well as by telephone and email. Answers routine inquiries requiring general familiarity with departmental operations, programs and procedures. Assists individuals needing various forms , completing forms,or providingother information. Processes or assists with accounts receivable. Gathers information on services provided to clients and customers and prepares invoices. Sends invoices to the appropriate payer and receives and posts payment to the appropriate account. Performs a variety of clerical support tasks such as making copies, opening, sorting and distributing mail, sending faxes and related tasks. Operates a computer and utilizes case management and data entry Explains departmental policies and the laws and ordinances related to animal control. Documents complaints and informs complainant that animal control will contact them; provide phone numbers and pass information on to appropriate personnel or contact appropriate dept. Logs, distributes and files complaints. Initiates paperwork on animals brought to the department and maintains registers of animals housed at the shelter. Initiates paperwork on complaints made to the department and maintains records until complaint is closed. Files complaint with appropriate entity and file location. Shows animals for adoption, explains adoption process and prepares necessary records for adoption. Handles animals coming into or leaving the shelter in the absence of other staff. Performs the functions of the Attendant as necessary including but not limited to cleaning kennels, managing volunteers and community service workers, etc. Conducts daily reviews of voice mail, email, faxes and postal mail.
Follow up with required notifications and monitors for timely compliance by owners. Refers non-compliant owners to local authorities as needed. Assists with miscellaneous projects as directed. As relevant, maintains client confidentiality and abides by HIPAA confidentiality requirements. This list may not be inclusive of the total scope of job functions to be performed. Employment Qualifications Education:
High school graduation or equivalent. Some college levelcoursework in word processing, spreadsheets and accounting preferred.
Experience:
Preferred twoto three years’ experience in a secretarial or administrative office capacity. Prefer experience with word processing and spreadsheet programs and account keeping experience.
Other Requirements:
Valid drivers’ License, ability to pass a background check.
Relevant Skills/Specialized Equipment Knowledge:
Compassion for animals. Basic office equipment such as telephone, calculator, photocopier, Fax, etc. Photographic, audio and video equipment. Computer programs including word processing, spreadsheets, database entry and maintenance, financial applications, and desktop publishing. Ability to exercise excellent customer service skills.
Physical Requirements:
Ability to enter and retrieve documents from office filing systems. Ability to enter and access information to the computer. Ability to stoop and bend in order to care for animals. Occasionally lifts animals to place in cages. Occasionally lifts bags of dog food weighing up to 50 pounds. Prolonged sitting while entering data to computer. Prolonged standing while helping with Animal Shelter Attendant duties. Stooping, kneeling, and crouching to retrieve and put away supplies and materialsor to access files.
