Job Description

Executive/Accounting Assistant City Of Eufaula Eufaula, AL 36027 JOB SUMMARY The City of Eufaula is seeking a highly organized and detail-oriented professional to provide general administrative support, customer service support, accounting functions and other specialized duties as required to support city administrative officials. The ideal candidate should have excellent oral and written communication skills and be able to organize work independently with the ability to multi-task.

MAJOR DUTIES

Attend meetings and prepare minutes for various boards and city organizations, including Board of Zoning Adjustments, Planning Commission, Historic Preservation Commission, Healthcare Authority, and Industrial Development Board. Assist in the process and review of all applications for Planning Commission, Board of Zoning Adjustments and Historic Preservation Commission. Prepare packets for distribution to members and the press; send required legal notifications of meetings to adjoining property owners; prepare agenda and schedule meetings; maintain calendars and meeting schedules. Process Accounts Payables invoices in a timely and accurate manner. Verify and investigate discrepancies. Assist as needed in all departments at City Hall, such as in Human Resources, Business Licenses and Building permits, etc. Create and maintain filing systems, both electronic and physical. Establish and maintain relationships with new and existing vendors, department heads, co-workers, etc. Serve as a liaison between city officials and department heads to handle requests. Handle travel arrangements to city departments for conferences and out-of-town meetings. Assist with coordinating and scheduling meetings and appointments. Answer phone and greet visitors cordially and provide information and assistance as needed Performs related duties.

KNOWLEDGE REQUIRED BY THE POSITION

Knowledge and experience in preparing letters, emails, social media, minutes and proclamations professionally, using proper spelling and grammar. Knowledge and experience of accounts payables processes. Knowledge of customer service principles and practices with skill in oral and written communication. Knowledge of City and departmental policies and procedures. Knowledge and experience of computers and job-related software programs. (Excel, Word, etc.) Skill in problem solving, prioritizing and planning. Skill in interpersonal relations with internal and external contacts. Detail oriented.

MINIMUM QUALIFICATIONS

Knowledge and level of competency commonly associated with completion of specialized training in the field of work in administrative office duties and accounting functions, in addition to basic skills typically associated with a high school education. Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with the completion of two years of working in customer service and accounting. Sufficient experience in Excel and Word programs and the ability to learn other software systems used by the city.

SUPERVISORY CONTROLS

The City Clerk/Treasurer or her/his assignee assigns work in terms of general instructions and spot-checks completed work for compliance with procedures, accuracy, and the nature and propriety of the results.

GUIDELINES

Guidelines include GAAP, state and federal regulations, and city and department policies and procedures. These guidelines are generally clear and specific but may require some interpretation in application.

COMPLEXITY/SCOPE OF WORK

The work consists of related specialized duties. Strict regulations and the need for accuracy and timeliness contribute to the complexity of the position. The purpose of this position is to provide specialized support for administrative and accounting functions. Successful performance ensures accuracy of all city records.

PHYSICAL DEMANDS/ WORK ENVIRONMENT

The work is typically performed while sitting at a desk or table or while intermittently sitting, standing, or stooping. The employee occasionally lifts light objects and uses tools or equipment requiring a high degree of dexterity. The work is typically performed in an office.
