HUB Gives SUMMARY:
Assists teams with daily administrative operations and maintains various office resources. Assist with the insurance placement process for Private Client/Personal Lines department as needed, including but not limited to typing ID cards, declaration pages, policy releases, form letters, etc.
ESSENTIAL DUTIES AND RESPONSIBILITIES
New Business:
Set up new clients into EPIC. Add AREV activity to Account Executive/ Producer w/ 20 day follow up. Update with policies numbers, etc. when received by Account Executive/Producer Suspense for download of policies, attached in Epic. Prepare customer binders when policies received to be given to Account Executive/Producer.
Renewals:
Attach renewal policies in Epic and update activities on High Net Worth clients.
Processing:
Handle billing issues/cancellation and advise Account Executive/Producer as soon as notified either from system or my mail. Process payments as needed.
Responsibilities:
Photocopying, scanning, attaching General office support, including typing, spreadsheets, database management, and file preparation Review incoming mail for department and pass out to the appropriate person for handling. Keep agency management system current and updated. Provide department and/or office phone back-up as assigned by management Prepare Automobile ID cards, declaration pages, lost policy release forms, summaries of insurance, schedules of insurance, etc. Retrieve carrier website documentation for distribution to staff Learn and adhere to applicable HUB International Gulf South Procedures and Operational Professional Standards Additional responsibilities as requested or assigned by management
REQUIREMENTS
- Proficient computer skills with all MS Office applications – Excel qualifications – correct formulas, realign columns and rows, clean up font size and print style.
- Possess good verbal and written communication skills
- Superior telephone etiquette
- Solid interpersonal skills in working with colleagues
- Ability to work independently or within a team-based environment
- Ability to work in a fast-paced, dynamic environment with changing priorities
- Multi-task oriented
- Detail oriented and accurate
