Job Description We’re seeking a dynamic, detail-oriented Client Intake & Case Management Lead to join our team. This critical role serves as a front-line liaison between the firm and prospective clients. You will manage the intake process from start to finish. You will also be responsible for organizing client claims documentation, coordinating settlements and case closings, and managing timely follow-ups. This role partners closely with our marketing team to provide real-time feedback on lead quality and conversion efforts and involves daily interaction with the senior partners of the law firm. This is a demanding, fast-paced position that requires high emotional intelligence, organization, and the ability to build rapport quickly with potential clients. Some after-hour availability for qualified leads is expected. Key Responsibilities
- Own the end-to-end intake process for new client leads
- Track and manage referral sources, ensuring proper attribution and follow-through
- File and monitor claims, ensuring accuracy and timelines
- Coordinate case settlement and closure, maintaining full documentation
- Maintain a daily checklist to ensure every client touchpoint is addressed
- Provide real-time updates and feedback to the marketing team on lead flow and quality
- Communicate professionally and empathetically with potential clients
- Implement and maintain standardized systems for intake and tracking
- Respond promptly to after-hour qualified leads, when necessary Qualifications
- Bachelor’s degree or military experience preferred but not required – this is a great opportunity for a motivated recent graduate or recent veteran
- 3+ years of experience in client intake, legal support, or operations in a professional services or legal setting (or equivalent combination of education and experience)
- Strong organizational skills with sharp attention to detail
- Excellent written and verbal communication skills; ability to multitask in a fast-paced environment
- Demonstrated experience using CRM systems, case management or intake tracking software is a must
- High degree of professionalism, discretion, is necessary to serve our clients
- Conformable with fast-paced, deadline environments and shifting priorities
- Ability to work both independently and collaboratively
- Availability to occasionally respond to high priority leads after business hours
