Job Description

  • Parts and Service Quoting:
  • Prepare accurate and timely quotes for parts and service requests from a designated major account.
  • Collaborate with internal departments (e.g., parts, service technicians) to ensure accurate pricing and availability.
  • Negotiate pricing and terms with the customer to maximize profitability.
  • Additional responsibilities as assigned by management
  • Purchase Order (PO) and
In-House Transfer Management:
  • Generate and process purchase orders for parts and materials required for service or customer orders.
  • Manage in-house transfers of parts and materials between departments or locations.
  • Ensure accurate record-keeping of all POs and transfers.
  • Additional responsibilities as assigned by management
  • Customer Service:
  • Serve as the primary point of contact for the major account, addressing inquiries and resolving issues promptly.
  • Build and maintain strong relationships with key customer contacts.
  • Provide proactive communication regarding order status, service updates, and potential delays.
  • Handle customer complaints and ensure customer satisfaction.
  • Additional responsibilities as assigned by management
  • Billing:
  • Generate and process accurate invoices for parts and service orders.
  • Ensure timely and accurate billing according to customer agreements.
  • Address billing inquiries and resolve discrepancies.

  • Accounts Receivable:
  • Monitor customer accounts for outstanding balances.
  • Follow up on overdue invoices and implement collection procedures.
  • Maintain accurate records of customer payments and account activity.
  • Work with the customer to resolve payment discrepancies.

  • Reporting and Documentation:
  • Maintain detailed records of customer interactions, quotes, orders, and billing information.
  • Generate reports on sales, service activity, and accounts receivable status.
  • Ensure compliance with all company policies and procedures.

Required Skills/Abilities

  • Proven experience in sales, customer service, and/or accounts receivable
  • Strong understanding of parts and service operations (specific industry knowledge is highly desirable)
  • Excellent communication, negotiation, and interpersonal skills
  • Proficiency in using ERP systems and CRM software
  • Strong organizational and time-management skills
  • Ability to work independently and as part of a team
  • Strong problem-solving and analytical skills
  • Knowledge of accounting principles and practices
  • Ability to work under pressure and meet deadlines
  • Strong attention to detail.
