ADMINISTRATION MANAGER Overview:
The Administration Manager reports directly to the Controller. The position supports two functions within the company, Financial and Equipment. The main responsibility being the Equipment Division. This position deals with sensitive material and information which necessitates confidentiality. This list is not totally inclusive, and additional functions may be added or removed as needed.
Administration Manager Job Responsibilities:
Financial Responsibilities Code & Enter Invoices onto Accounts Payable System
Process Cash Receipts
Process Credit Card Sales
Run Credit Checks as requested for new or existing customers.
Collection Calls & Send over 90 Day Outstanding List to Required Staff Equipment Division Responsibilities Equipment Division Billing
Contact with Equipment Engineers with Billing Inquiries
Equipment Costing
Maintain Equipment Reports
Attend Weekly Equipment Meeting and maintain meeting minutes.
Shipping For Equipment Division & Technical Center
Enter equipment sales lead into database
Organize & File engineering records pulled out by the equipment division daily.
Fill up forms as vendor when customer has requirements for any project.
Get missing information in PO for new orders from customers directly. Office Responsibilities Responsible to answer incoming Telephone Calls and announce all transfer calls
Distribute Mail and Maintain Postage
Admins the Telford office with necessary supplies and consumables.
Contact any Outside Building Services for the Telford office when needed.
Administration Manager Qualifications/Skills:
Organization, Attention to Detail, Productive and Dependable
Good Interpersonal and Communication Skills Required
Ability to Meet Deadlines & Multitask is Essential
Ability to Maintain Sensitive & Confidential Information
Familiarity with Financial Software
Proficiency in Microsoft Office products (Word, Excel, Powerpoint, Outlook, Access etc)
Previous Accounting Experience Preferred
Personality should project positive and supporting vibes.
Team player with readiness to support the necessary functions of financial and equipment division
Good Math Skills (statistical analysis).
