Operations and Communications Assistant Down Syndrome of Alabama Hoover, AL 35244

  • Hybrid work Organization Overview Part time with potential for full time Remote work with presence at events; as needed Down Syndrome Alabama (DSA) is a nonprofit organization dedicated to empowering individuals with Down syndrome through advocacy, education, and connections.

We work closely with families, healthcare providers, and the community to ensure that individuals with Down syndrome have the resources they need to thrive. DSA offers various programs, events, and initiatives to raise awareness and foster inclusion. Position Summary The Operations and Communications Assistant will provide essential support to the daily operations of DSA, ensuring smooth coordination of events, communications, and volunteer activities. The ideal candidate will have strong organizational skills, attention to detail, self-starter, and the ability to manage multiple tasks simultaneously. This role is helps DSA maintain its mission and serve the community effectively. Key Responsibilities Administrative Duties

  • Manage and respond to general inquiries via phone, email, and social media.
  • Maintain and update organizational databases, including donor and event management systems (Neon CRM).
  • Organize and manage office mail, deposits, and supplies.
  • Assist with preparing meeting agendas, taking minutes, and following up on action items.
  • Coordinate and schedule meetings, including logistics such as venue booking and material preparation.
  • Process and enter donations, grants, and other financial contributions. Communication Support
  • Assist with social media management, including scheduling posts and responding to inquiries.
  • Draft and send newsletters and other communication materials to stakeholders.
  • Collaborate to ensure consistent messaging across platforms.
  • Support in the creation of event marketing materials, such as flyers and digital content.
  • Write thank you notes and follow-up communications with sponsors. Volunteer Coordination
  • Assist in training and scheduling volunteers for events and initiatives.
  • Maintain records of volunteer hours and contributions.
  • Communicate regularly with volunteers to ensure their needs are met and to keep them informed of upcoming opportunities.
  • Help organize volunteer appreciation events and initiatives. Qualifications
  • Strong organizational and communication skills with attention to detail.
  • Proficiency in Microsoft Office Suite and Google Workspace.
  • Experience with CRM software, particularly Neon, is a plus.
  • Experience in Canva and design elements.
  • Ability to understand financial budgets and reports
  • Ability to process and track payables and receivables within QuickBooks; if a plus.
  • Ability to work both independently and collaboratively within a team.
  • Previous experience in a nonprofit organization is preferred but not required.
  • Ability to manage multiple tasks and prioritize workload effectively. Personal Qualities
