Marketing & Events Coordinator 3.9 3.9 out of 5 stars Clearwater, FL 33763 Job Description We are currently seeking a Marketing and Events Coordinator. In this role, you will play a key role in planning, execution, and post-event analysis of corporate and social events. You will collaborate with clients, vendors, and internal teams to ensure that every event runs smoothly and meets predefined goals and budgets. Essential Duties and Tasks Coordinate and manage all aspects of event planning, including venue selection, catering, transportation, set-up/take-down, and event collateral. Communicate effectively with CMTO and dealership General Managers to understand their event goals, preferences, and budget. Create detailed event timelines, schedules, calendars, and run-of-show documents. Oversee the event set-up and ensure all logistical elements are in place and executed on time. Take event photography/videography for Social Media deployments and co-op submissions. Manage vendor relationships, including assisting in negotiating contracts, securing services, and coordinating deliveries. Supervise event staff and/or volunteers to ensure smooth event execution. Assist with guest information capturing, lead entry input, and handling overflow event traffic. Handle event-related issues, troubleshooting any problems that arise during the event. Manage post-event tasks, including debriefs, ROI reporting, gathering feedback, and financial reconciliation. Assist CMTO in submitti ng necessary receipts, photos, etc. for co-op submissions. Maintain accurate event records and assist in budgeting, traffic counting, and cost tracking. Provide recommendations for event improvements based on internal assessments and feedback. Develop Save-the-Date, RSVP, and post-event correspondence or marketing materials. Assist the Marketing Department in various capacities as directed by the CMTO. Collaborate with CMTO and Dimmitt Automotive Group’s Event Director on other projects. Qualifications Bachelor’s degree in Event Management, Hospitality, Public Relations, Marketing, or related field. 3-5 years of experience in event planning or coordination. Strong project management skills with the ability to juggle multiple tasks and deadlines. Excellent written and verbal communication skills. Proven ability to work with clients and vendors to achieve event goals. Attention to detail and a problem-solving mindset. Ability to work independently and as part of a team. Experience with event management software and Microsoft Office Suite (Excel, Word, PowerPoint). Flexibility to work evenings, weekends, and travel as needed for events.
