Real Estate Transaction Coordinator / Marketing Support Confidential Wellesley, MA 02482
Position Overview:
We are a boutique luxury real estate brokerage in Boston, seeking a polished, detail-driven Transaction Coordinator & Marketing Assistant to support our high-performing agents and discerning clientele. This in-person role requires someone with exceptional organizational skills, a strong grasp of the luxury market, and a keen eye for branding and presentation. You will ensure seamless management of real estate transactions from contract to close while also supporting elegant, on-brand marketing efforts that reflect our elevated service standards.
Key Responsibilities:
Transaction Coordination (60-70%) Oversee all administrative tasks related to buyer and seller transactions, ensuring accuracy and timely completion. Skyslope Transaction Software experience a PLUS Track contract milestones, schedule critical dates (inspections, appraisals, closings), and coordinate with attorneys, lenders, and cooperating agents. Maintain digital and physical transaction files in accordance with brokerage policy. Assist in preparing listing and closing documentation, disclosures, and MLS input. Luxury Marketing Support (30-40%) Assist in the creation and execution of marketing materials, including luxury listing brochures, postcards, social media content, and e-blasts. Coordinate professional photography, video tours, staging appointments, and custom marketing campaigns. Maintain brand consistency across all platforms including MLS and company website, Manage CRM database and support marketing drip campaigns and newsletters. Provide support for agent, events, broker tours, and client appreciation initiatives.
Ideal Candidate Profile:
Prior experience in real estate administration or luxury brokerage support strongly preferred. Skyslope Transaction system experience preferred Professional demeanor with strong written and verbal communication skills. Familiarity with the Greater Boston and MetroWest real estate market. Highly organized with strong attention to detail and ability to handle multiple complex transactions. Proficiency with tools like MLS PIN, SkyslopeDocuSign, Canva, Mailchimp, and CRMs (e.g., Follow Up Boss, Hubspot). Comfortable in a fast-paced, client-centric environment with high standards for discretion and professionalism.
