Job Description

National Automotive Fleet Marketing Coordinator DriveShop Mahwah, NJ The Fleet Coordinator is responsible for managing and overseeing all aspects of the fleet operations, including budgeting, vehicle requests, and logistics.

Budget Management :

Manage budget, trucking budget, and dealer service budget. Validate, prepare, and submit dealer and supplier invoices for payment.

Vehicle Requests and Allocation :

Create vehicle requests (VRs), work with the Distribution team to fill orders, confirm monthly inventory, and turn-in vehicles at the end of their use term. Work with Vehicle Services (VS) to assign and allocate vehicles, ensuring they are placed into service in the VS database.

Stakeholder Coordination :

Work with internal OEM stakeholders and agency partners to understand and anticipate vehicle needs for events, programs, and campaigns. Forecast vehicle usage, coordinate on-hold placements, and ensure the necessary vehicles are available for the programs while maximizing fleet utilization.

Vehicle Records and Profiles :

Work with DriveShop offices to build vehicle records and vehicle profiles on the DriveShop FMS website, including adding Monroneys and Registrations.

License Plate Management :

Oversee license plate management for the department’s fleet, ensuring plates are ordered and shipped as needed. Ensure registration and insurance are renewed, and the required paperwork is assigned to each vehicle.

Vehicle Maintenance :

Ensure all vehicles are maintained in good condition and receive regular in-use inspections and maintenance. Track vehicles at service to ensure repairs are approved and completed in a timely manner.

Logistics and Security :

Manage logistics, housing, security needs, and associated costs of cars once on U.S. soil. Work with regional DriveShop offices to ensure vehicles are ready for turn-in. Manage recall and stop order repair needs and ensure vehicles are serviced appropriately. Collect service invoices.

Fleet Utilization :

Proactively manage fleet utilization metrics with individual DriveShop offices, maximizing usage to achieve OEM KPI standards. Track vehicle damage while in-use and oversee incident reports. Follow up with DriveShop offices to coordinate repairs or delivery of vehicles.

Vehicle Violations :

Receive vehicle violations from Vehicle Services, confirm responsibility, and pay or forward violations for payment.

Event Logistics :

In partnership with select agencies, assist with vehicle logistics, trucking, and fleet management to ensure the vehicle logistics of an event or photoshoot run smoothly. Arrange vehicle trucking to/between DriveShop office and special events.

Management:

• This position does not have direct personnel supervisory responsibilities. • This position reports to the VP Client Services that oversees the OEM account work for DriveShop.
