Director of Conferences & Special Events Basic Function and Scope of Responsibilities:
The Associate Director of Events and Visitor Relations supports the coordination, promotion, and successful execution of internal and external events at Long Island University. This position plays a vital role in ensuring a seamless experience for campus visitors and clients by managing logistics, coordinating services, and supporting the daily operations of the Office of Conferences and Special Events. The role offers opportunities for collaboration, creative problem-solving, and exposure to a wide variety of university functions.
Principal Responsibilities:
Coordinate logistics for a wide variety of events, including conferences, meetings, camps, and community rentals. Assist with managing University event scheduling through Ad Astra, including room reservations and work order submissions. Serve as a customer service liaison between event clients and departments such as Facilities, Public Safety, IT/AV, and Dining. Support the execution of signature University events including Commencement, Orientation, and Admissions events. Represent the Office of Conferences and Special Events at campus functions and visitorfacing engagements. Help promote campus spaces and services to external clients through outreach and marketing assistance. Assist in coordinating the summer conference schedule, including logistics for housing, catering, and visitor services. Provide on-site support during events, including setup oversight, signage placement, and vendor coordination. Contribute to event reporting, invoice tracking, and basic administrative support for the office. Participate in rotation schedule for evening and weekend event coverage, as assigned. Other duties as assigned by the Director of Conferences & Special Events or senior leadership.
Education Requirements:
A bachelor’s degree required; background in Hospitality, Event Management, Communications, or a related field is preferred.
Skills, Knowledge, and Experience:
Strong organizational and time-management skills with attention to detail. Effective written and verbal communication skills and a collaborative mindset. Proficiency with Microsoft Office; familiarity with scheduling software or event platform Ad Astra is a plus. Ability to manage multiple projects, prioritize responsibilities, and meet deadlines. Professional, service-oriented attitude with a commitment to hospitality and teamwork. Experience in events, campus programming, hospitality, or customer service roles is desirable.
Working Conditions:
Some evening and weekend hours may be required to attend University events or manage time-sensitive campaigns. Occasional travel to/from LIU campuses and external events may be required. Ability to lift and move equipment up to 30 lbs. to a height of 4 feet. LIU is an equal opportunity employer.
