We are seeking a full-time, in-office Marketing and Client Relations Coordinator to drive our innovative marketing strategies, enhance client relations and ensure an exceptional first impression for our clients. This dual role combines the responsibilities of executing effective marketing initiatives with the vital task of providing a warm and inviting environment for clients and visitors. Key Responsibilities:
Marketing Coordination :
  • Execute the firm’s marketing plan, ensuring all project deadlines are met.
  • Oversee our monthly webinars on Estate Planning and Medicaid qualification that are run every other week.
  • Coordinate promotional efforts across various platforms (print ads, direct mail, emails, and social media).
  • Track and report on marketing efforts to assess effectiveness and inform and develop future strategies.
  • Supervise the firm’s SEO provider that manages our online presence, including SEO optimization and reputation management through Google My Business.
  • Lead event planning for both in-person and webinars, creating outstanding experiences for attendees.
  • Assist in content creation, including editing and developing copy, following AP style guidelines.
  • Manage email communications and coordinate monthly newsletters to prospects and clients.
Client Relations Coordination:
  • Create a welcoming atmosphere for clients and visitors.
  • Answer phone calls within three rings, managing multiple lines effectively.
  • Respond in a timely manner to voice mail messages.
  • Schedule appointments and conduct confirmation calls, ensuring clear communication of next steps.
  • Instill firm values in every interaction, ensuring clients feel prioritized and respected.
  • Distribute communications and manage correspondence to ensure timely responses.
  • Maintain an organized and clean office area, keeping supplies stocked and the environment welcoming.
Experience and Qualifications:
  • Minimum 2 years of marketing experience in a small business environment is very helpful (law firm experience not required), with a flair for client interaction.
  • Strong verbal and written communication skills.
  • Proficient in technology and software including Microsoft Office Suite, Zoom, WordPress, and email marketing tools (e.g., Mailchimp). Tests will be administered.
  • Proven ability to manage multiple tasks and prioritize in a busy environment.
  • Friendly demeanor with a strong commitment to customer service and relationship building.
  • Notary public license a plus.
