Position Overview:

The On-Site Management Executive will report directly to the AKAM Senior Vice President and Board of Managers. will be responsible for the daily management of the property and help oversee all aspects of building management. The duties and responsibilities include, but are not limited to, the following:

Hospitality & Communication:

Ensure hospitality best practices are upheld across the property. Maintain an “open-door” policy, acting as a liaison between the owners, residents, Resident Manager, property staff, vendors, and the Board of Managers. Assist and communicate with all residents and commercial entities as needed, addressing any escalated concerns promptly. Respond to all communications in accordance with established standard operating policies and procedures.

Business & Property Management:

Accountable for all business and management aspects of both the Residential and Master Condominiums. Prepare drafts and provide input on the strategic plan and budget, ensuring alignment with approved financial strategies. Facilitate reporting on financial variances or anomalies and propose solutions.

Financial Operations:

Process invoices promptly, ensuring accurate financial coding and clear descriptions for future analysis. Be familiar with client management contracts and ensure compliance with insurance requirements. Process and maintain proof of insurance for all third-party vendors. Ensure proper billing, receipt of income, and identification of arrears. Work with owners to minimize collections due, following property collection procedures. Initiate legal action as directed by the Board.

Board & Meeting Facilitation:

Attend and facilitate monthly, annual, and special Board meetings. Lead Board meetings, staying focused on the agenda. Distribute formal Board packages at least 3 business days prior to meetings, ensuring all pertinent documents are included.

Team Management & Oversight:

Supervise the Resident Manager, Property Manager, and Commercial Property Manager. Support the team through training, performance reviews, and performance improvement plans as necessary. Assist the Resident Manager with staff payroll, PTO, bonuses, and budget management. Address overtime and payroll variances, and support labor-related matters with legal counsel.

Staffing & Recruitment:

Assist with the identification and recruitment of candidates for open building staff positions, conducting initial interviews as needed.

Legal & Court Matters:

Attend court appearances, hearings, employee arbitrations, and NYC code enforcement hearings on behalf of the Condominium when necessary.

Property Inspections & Maintenance:

Conduct regular property inspections, providing formal walkthrough reports. Support the Resident Manager in routine maintenance of the physical plant and ensure timely repairs to the infrastructure.

Repairs & Capital Improvements:

Oversee necessary repairs and capital improvements in compliance with local codes. Negotiate with vendors to complete capital improvement projects and compliance-related work. Facilitate communication about these projects with residents, owners, and shareholders.

Crisis Management & Emergency Situations:

Be available to handle emergency situations and manage crisis situations as they arise.

Violations & Compliance:

Monitor and report violations of the property’s governing documents. Communicate violations to residents and facilitate legal action where applicable. Ensure compliance with all local codes and regulatory requirements (e.g., DOB, DOHMH, FDNY, HPD, etc.), and take immediate action when violations are issued.

Internal Coordination:

Coordinate with internal departments, including finance, transfers, compliance, and training, to provide necessary support.

Policy & Procedure Compliance:

Adhere to AKAM’s policies and procedures, ensuring compliance with company best practices.

Professional Knowledge & Representation:

Demonstrate mastery of all AKAM/property programs and procedures. Represent AKAM and the Condominium in a professional manner, including maintaining appropriate attire and grooming, staying informed on internal functions, and keeping up-to-date with industry developments.

Required Skills & Qualifications:

Strong leadership and communication skills Knowledge of financial management and budgeting Ability to handle emergency situations and crisis management Familiarity with property management contracts and legal compliance Experience in managing teams and overseeing staff performance Ability to coordinate with internal and external parties to ensure smooth operations
