SUMMARY Manage the Parts Department to return a satisfactory profit on dealer capital invested. Accomplish objectives through the use of proper purchasing procedures, inventory control, staff utilization, security, pricing, merchandising, displaying, and advertising.

ESSENTIAL DUTIES

include the following. Other duties may be assigned. Forecasts goals and objectives for the department and works daily to meet them. Hires, trains, motivates, counsels, and monitors the performance of all parts department staff. Develop, with the VP of Fixed Operations, a training and succession plan for the department. Prepares and administers an annual operating budget for the parts department. Analyze sales, expenses, and inventory monthly to maintain profit goals. Work with VP of Fixed Operations to accomplish assigned goals. Attend managers’ meetings. Maintains current knowledge of industry at large as well as the marketplace within the dealership’s AOR. Hold monthly department meetings for the purpose of communicating industry news, changes in procedure, new vendor or part sales opportunities, etc. Provide technical assistance to parts department employees. Monitor parts department employees’ payroll records. Coordinate a prompt, efficient, and timely flow of paperwork. Monitor daily reports and sales productivity. Develops with senior management, enforces, and continuously reviews customer processes that ensure complete satisfaction. Supervise custodians to ensure that work area is kept clean. Enforces safety requirements, including but not limited to forklift training and operation, processing of MSDS sheets on all products carried, and OSHA Right-to-Know. Understands, keeps abreast of, and complies with federal, state, and local regulations that may affect parts sales. Maintain professional appearance. Work hours consistent with proper management of all shifts as well as time required for any special circumstance. Maintain a balanced inventory consistent with the requirements of the service department, body shop, fleets, wholesale accounts and the do-it-yourself public. Establishes individual parts inventory levels and balances them for turns consistent with company policies. Monitors and adjusts inventory to manage obsolescence within company guidelines. Ensures returns are processed within vendor guidelines to ensure maximum credit for the company. Supervises stock order procedures and all applicable replenishment systems. Enforce a policy on the special ordering of parts. Ensure that stock orders represent at least ninety percent (90%) of all orders. Work with the service manager and body shop manager to ensure a timely turnaround of parts needed for internal jobs. Analyzes departmental operations and storage layout and revises as needed for maximum effectiveness. Direct shipping and receiving efforts to ensure timely processing Utilize the lost sales summary report. Ensures that all parts department purchases are properly accounted for before payment is made. Establish pricing parameters in each customer category that generate sufficient gross profit to produce a satisfactory profit while maintaining customer loyalty. Ensure that the same high quality level of service provided to outside customers is also provided to internal dealership customers. Direct outside parts and counter sales efforts, including a telemarketing program to maintain customer contact and increase sales. Make regular in person customer visits alone and with other dealership staff. Develop sales promotions. Takes advantage of all manufacturers’ inventory co-op advertising. Handle customer complaints immediately and according to the dealership’s guidelines. Assist in the collection of past-due accounts. Recruit employees and arrange training so that team members have the product knowledge and customer service skills to provide high levels of customer service. Maintain stock at a level that enables internal servicing shop and repair departments to complete their work without delay. Maintain accurate records of parts replaced under warranty and details of faulty parts. Submit all parts warranty and return claims within the required time frame to receive maximum credit. Maximize use of all order discount programs. Maintain all department tools, equipment and vehicles in good working order. Adhere to and promote all existing health and safety policies in the workplace to reinforce the Hunter culture of a safe work environment

SUPERVISORY RESPONSIBILITIES

Directly supervises 10-20 employees in the Parts Department. Carry out supervisory responsibilities in accordance with the organization’s policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

EXPERIENCE

High School Diploma or GED required. Bachelor’s degree (BA) from four-year College or university preferred. Four to six years related experience and/or training; or equivalent combination of education and experience required.

CERTIFICATES, LICENSES, REGISTRATIONS

Automotive Service Excellence (ASE) Certifications preferred Medium/Heavy Truck Parts Specialist Certification preferred Valid Driver’s License required; must meet company insurability standards
