Job Description Summary:
We are seeking a Member Services Coordinator to be the central hub for all member interactions at our wellness club. This role is essential in delivering the high standard of service that WellWay is known for. The ideal candidate will be passionate about health and wellness, customer-focused, and eager to help members get engaged and connected to our team and model of care to support them in reaching their goals. As the Member Services Coordinator , you will handle a range of responsibilities including member check-ins and check-outs, managing retail sales, coordinating the delivery of health services, and ensuring a seamless, high-quality experience for all members. You’ll also be responsible for answering member inquiries, processing membership changes, and guiding prospective members through tours and enrollments. Your role is key to maintaining our luxury brand reputation by delivering outstanding customer service and supporting our members in their wellness journeys.
Key Responsibilities:
Member Engagement:
Greet and check in members and guests upon arrival, ensuring a welcoming and efficient experience.
Appointment Management:
Facilitate member check-outs after club visits and coordinate appointments within our Health Services department.
Retail Operations:
Manage the sale of retail supplements and wellness products, providing knowledgeable recommendations to members.
Administrative Duties:
Perform various administrative tasks, including data entry, maintaining member records, and handling membership inquiries.
Customer Service:
Deliver a high level of customer service by responding to member questions, concerns, and requests promptly and professionally.
Service Coordination:
Coordinate the delivery of Health Services products and services, ensuring members receive the care and attention they need.
Member Experience:
Ensure a consistently high-quality member experience by maintaining the cleanliness and organization of the reception and member areas.
Product Knowledge:
Be thoroughly familiar with all of WellWay’s membership options, products, services, and unique industry positioning to effectively assist members and prospective clients.
Payment Processing:
Handle payments, process refunds, and manage membership changes accurately and efficiently.
Communication:
Answer phones, respond to emails, and provide information about club offerings and services.
Membership Sales:
Conduct tours for prospective new members, explain membership benefits, and assist with the enrollment process.
Skills and Qualifications:
Excellent Communication Skills:
Strong verbal and written communication abilities, with a focus on clear, courteous, and professional member interactions.
Customer Service Experience:
Previous experience in a customer-facing role, ideally in a wellness, hospitality, or retail environment.
Organizational Skills:
Strong organizational and multitasking skills, with the ability to manage multiple responsibilities in a fast-paced environment. Attention to
