TICO owns and operates a fleet of over 1500 terminal tractors and trailers deployed in major U.S. ports. Our company is a well-established Terminal Tractor leasing company looking for an Administrative Assistant/Parts Clerk. SUMMARY To assist the Administrative Assistant on a daily basis and fill in when needed. Some of the duties will include data input, billing, reporting, filing, HR designated functions and daily general office/clerical functions. Perform quality data entry work within deadlines with or without direct supervision. This position is responsible for accuracy, efficiency and retrieval of processed data. This position must proof data entered, as well as generate data reports as required.
ADMINISTRATIVE ESSENTIAL DUTIES AND RESPONSIBILITIES INCLUDE THE FOLLOWING. OTHER DUTIES MAY BE ASSIGNED.
Work directly in conjunction with the Administrative Assistant. Prepares and complete required monthly reports for dedicated/pool customers. Including utilization, tractor hours, timely paid reports and tracking equipment. Complete all JAX accident reporting, filing and billing requirements. Prepare invoices for trucks, Hobbs hours and for leased equipment as required. Open, close, and batch out JAX work orders. Respond to JAX visitors and incoming phone call inquiries. Verify and perform data entry of Input Hobbs and PM Hobbs hour meter service data. Assist employees as needed with Paycor and HR issues. Perform data entry using TMW, Dynamics, word processing, spreadsheet or database commands, and format material as required. Create data directories/subdirectories for file storage. Review discrepancies in data received, request clarification or advise supervisor of issues related to data. Compile, sort, and verify the accuracy of data before it is entered, reviewing discrepancies in data received, request clarification, or advise manager of issues related to data, and perform data verification routines in accordance with Company procedures. Locate and correct any data entry errors and report them to your manager. Read source documents such as Operations’ paperwork, tire work-orders etc., and enter data in specific data fields. Provide assistance with routine clerical and including filing, copying of documents, and preliminary processing of new hire paperwork. Comply with Company policy. Perform other duties as required by the Terminal Manager.
QUALIFICATIONS
To perform this job successfully, an individual must be able to perform all essential duties satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or abilities required. Knowledge of administrative and clerical procedures, managing files and records, office procedures and terminology is helpful. There is importance of being exact and accurate while performing this job. Must be proficient with a 10-key calculator, fax, copier, and telephone and must perform quality work within deadlines with or without direct supervision.
REASONING ABILITY
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. EDUCATION and/or
EXPERIENCE A
High School Diploma, or one to two years related experience.
LANGUAGE SKILLS
Ability to read and interpret documents such as safety rules, operating instructions, and procedure manuals. Ability to write routine reports and correspondence, and an ability to speak effectively to employees and customers and/or employees of other organizations.
COMPUTER KNOWLEDGE
This position requires basic computer skills, as well as knowledge of computer and software, including Microsoft Windows, Word processing, Excel spreadsheet, database applications, including Dynamics and TMW applications.
CUSTOMER RELATIONS SKILLS
Tact and other people/communication skills are necessary to perform this position successfully.
CERTIFICATES, LICENSES, REGISTRATIONS
Current/valid Driver’s License and a TWIC Card.
