This role will be based in either our Key Largo or Key West office Your Role Own all part ordering for service and install jobs Follow up on manufacturer warranty claims and ensure replacements are received Track purchase order activity and keep records organized in our CRM and spreadsheets Reach out to customers waiting on parts with proactive updates Coordinate returns, credits, and restocks with vendors Work with service managers and technicians to verify correct part numbers Support processing of labor warranties when applicable Help ensure nothing is missed and jobs are completed without delay What You Bring 2+ years in an administrative or coordinator role (HVAC, plumbing, or trades preferred) Strong computer skills, especially with Google Sheets and CRM/purchase order systems Detail-oriented with strong follow-through Great at juggling multiple tasks and shifting priorities without getting flustered Comfortable talking with vendors, manufacturers, and customers Experience with manufacturer warranty processes or labor warranties is a strong plus A team player who keeps things moving and doesn’t need to be micromanaged Why This Role Matters You’ll be the behind-the-scenes engine that keeps parts flowing and jobs on track You’ll directly impact how fast we can take care of customers You’ll work with a tight-knit team that values precision and communication You’ll have a stable, long-term opportunity to grow in an expanding company “When something’s on backorder, you’re the one who makes sure no one’s left hanging.” —
