Listing Coordinator Job Description Qualifications:

Active Real Estate License Required for minimum of 2 years

Goals:

To help office increase business To help office decrease expenses and waste To assist team in developing clients for life To keep office staff and vendors on track/schedule To handle all administrative duties associated with managing listing relationships To monitor office listing goals and listing agent personal goals

Daily Musts:

Always be looking for ways to make the team, transaction, and yourself more productive and communicate the ideas. Keep a positive attitude with the clients, staff, and team members. Be efficient and enjoy your daily duties. Always improving personally and professionally.

Daily Responsibilities:

Check in with team members to see what needs to be done. Greet clients when visiting the office; ask whether they would like coffee, tea, water, etc. Answer phones with a smile and provide excellent customer service. Diligently follow up on phone calls, text message and emails to listing department Maintain our core values. Maintain client databases. Maintain and cultivate relationships with vendors and service providers. Identify and effectively communicate choke points involving photographers, listing agents, vendors, service providers, etc. Proactively identify choke points in listing systems, to make changes or add items as necessary.

Listings:

Communicate with each client a minimum of 1x a week Call/email agents to get showing feedback as soon as possible. Post feedback as soon as possible. Maintain the company listing line nights and weekends, within reason. If messages are delayed they should be priority the following work-day. Input new / Pre-MLS listings on the Follow Up Boss Deal Sheet. Report on Follow Up Boss Deal Sheet when listing is active on the market.

New Listing Checklist:

Communicate with new clients right away to ensure a positive listing experience. Create new listing files. Notify team buyer agent of new listings. Order signs, pictures, videos. Forward bills for work completed to Sellers and confirm payment. Work with Marketing to pre-market homes, or ready home for the MLS. Add new listings to MLS. Add listings to websites/social media. Assign lockbox. Upload disclosures to MLS. Create seller file in DotLoop. Upload all listing documents to DotLoop. Confirm signs, flyers, lock boxes and photos are completed on schedule.

Price Adjustments:

Communicate with the listing agent regarding clients motivation and any conversations regarding the pricing of the home. Ask the client for price reductions when necessary or when data suggests.
