The Legal Assistant plays a crucial role in supporting the Real Estate practice group and boosting attorney efficiency by managing information and aiding in the delivery of legal services, including client interactions. This position demands a proactive attitude to ensure tasks are completed on time, exceptional organizational skills, keen attention to detail, and the ability to excel in a high-volume, fast-paced environment. Minimum of three years’ experience with Commercial Real Estate. General knowledge about lease negotiations, closing procedures, lending requirements and documents, required.
Duties and Responsibilities:
Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. Provide legal administrative support to Real Estate attorneys and paralegals. Handle general correspondence. Filing of electronic documents. Managing attorneys’ contacts. Track and record own billable and non-billable time. Processing expense reports. Processing check requests for vendor costs and trust disbursements when needed. Finding and retrieving information from files. Assist with follow up on AR collection. Assist attorneys and paralegals in preparation for meetings. Maintain confidentiality of client information. Manage information through various firm databases, including but not limited to MS Teams, Word, Excel, iManage, and other platforms. Provide excellent customer service to all clients both over the phone and via email. Heavy revision and formatting of documents Assist with time entry and billing. Assist with opening new matters, including reviewing conflict results, coordinating resolution of conflicts with other attorneys in the firm and, if needed, drafting conflict waiver. Perform title searches, lien searches, preparing title insurance policies, and coordinating residential real estate closings. Serving as a point of contact for clients, real estate agents, and mortgage brokers, ensuring all parties are informed and updated throughout the transaction process. Coordination of Closings. Balancing of closing /Hud/Alta statements Handling post-closing activities such as recording deeds, mortgages, and affidavits, disbursing funds (check requests and wires), and ensuring all documents are properly recorded with the county. Drafting Critical Dates Timeline/Closing Checklist Document preparation for DocuSign signatures. Notarize documents (Notary a plus) Scheduling conference/zoom calls Calendaring meetings, ED Dates, DD, and closing dates. Index and file documents in iManage Communicating with clients, lenders, and other parties involved in commercial transactions to ensure all necessary information and documentation is obtained. Other duties as assigned.
