Transaction Coordinator

SUMMARY OF RESPONSIBILITIES
The Transaction Coordinator will facilitate property closings across multiple markets, working in partnership with external companies such as Title and transaction management partners in addition to internal departments such as Legal, Treasury, Construction, and the broader Acquisitions team to ensure collection of proper documentation for file compliance, receipt of monies due/payable, and resolution of any issues that arise for successful, timely completion of all property transactions.
ESSENTIAL DUTIES
Develop a strong understanding of FirstKey Homes culture, goals, and initiatives
Develop a strong understanding of FirstKey Homes business operations of property acquisitions and dispositions
Develop and maintain positive working relationships with all internal and external partners
Act as liaison between the company and the title company in the transaction
Manage end-to-end process for all properties under contract (purchase and sale); duties to include financial and legal matters, date management, and collection of all required transaction-related documents
Document all Earnest Money Deposits (EMD) requests and receipts
Update purchase records regarding date changes (EMD, Due Diligence, or Close of Escrow), purchase price adjustments, and all other amendments associated with the transaction
Review purchase and sale contracts for completeness, accuracy, and adherence to terms, including present information that is incorrect as well as obtaining missing documentation
Review closing packages and proactively manage all activities to ensure timely close on the designated closing date
Review covenants, conditions, and restrictions (CC&R) and other HOA documents for potential rental restrictions
Request and document confirmations for Purchase Funding (PF) wire payments. Responsible for making sure funding has taken place and closing out file.
Complete closing checklist and provide disbursement approval for closing and request purchase funding
Coordinate closing activities with internal departments and external Local Operators and Title Companies
Coordinate and ensure the timely closing of the transaction
Operate across multiple platforms to monitor all transactions within scope of duty, resolving issues as they arise

WORKING CONDITIONS
Primarily working indoors; Hybrid work environment – comfortable working in the office and part remotely
Comfortable working in online dashboards to streamline and manage closings
May sit for several hours at a time
Prolonged exposure to computer screens
Repetitive use of hands to operate computers, printers, and copiers
REQUIRED EDUCATION AND EXPERIENCE
High School Diploma or equivalent
Minimum 2 years working in residential real estate, mortgage processing/closing, or similar work experience in the real estate industry
Experience processing/reviewing mortgage and/or title documents
Must be an appointed Notary Public
Detailed oriented and can juggle multiple priorities
Understand the importance of transaction deadlines and work diligently to ensure transactions close on time
Experience with a CRM (e.g. Salesforce) and/or property management (e.g. Yardi) software
PREFERRED EDUCATION AND EXPERIENCE
Bachelor’s degree in Real Estate, Business, Finance or similar degree
Experience working in title, real estate, property and/or asset management, or similar industry
Experience working in a fast pace, high growth company
REQUIRED KNOWLEDGE
Clerical:
Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, and other office procedures
Real Property Closing Procedures:
Fundamental understanding of transaction management, title and escrow, file compliance, etc
