The Lease Renewal Specialist is responsible for coordinating and executing lease renewals across a portfolio of properties to maximize occupancy, retain residents, and optimize rental income. This role requires strong communication, attention to detail, and collaboration with both residents and internal departments. The Lease Renewal Specialist plays a key role in resident retention by providing excellent service and ensuring a smooth and efficient renewal process.
Responsibilities will include:
Notify residents of upcoming lease expirations and communicate renewal offers and rate changes in a timely and professional manner. Monitor resident responses to renewal offers, following up as needed to confirm lease intentions. Respond promptly and accurately to resident inquiries regarding lease renewals, terms, and options. Counsel residents who intend to move out on their lease obligations and move-out procedures. Accurately enter lease renewal and move-out data into the property management system and maintain up-to-date resident records by uploading all relevant documentation. Prepare and execute lease renewal documents in accordance with company policies and legal standards. Collaborate with property management, maintenance, leasing, and resident services teams to share relevant updates such as notices to vacate, lease transfers, or resident concerns. Partner with Affordable Housing Specialists to ensure compliance and timely execution of renewals for LIHTC (Low-Income Housing Tax Credit) properties. Track and report on renewal performance metrics, such as retention rates and renewal acceptance trends. Support resident retention strategies by identifying opportunities for service recovery and recommending improvements in the renewal experience. Stay informed on fair housing regulations, local rental laws, and company leasing policies to ensure compliance.
