Full Job Description Position Overview:
This is a role requiring strong administrative skills, a working knowledge of the real estate transaction process, and the ability to assist with legal file compliance. You’ll work directly with the broker and transaction team to keep deals on track, documentation accurate, and office operations smooth. This role is ideal for someone who is organized, adaptable, and thrives in a fast-paced environment where priorities can shift quickly.
Key Responsibilities:
Assist with transaction file compliance and ensure documentation is complete and accurate Coordinate closings and communicate with attorneys, agents, and clients Draft and review basic real estate documents, addenda, and disclosures Maintain file organization and internal tracking systems (digital and physical) Track deadlines, contingencies, and key milestones for active files Support the broker with various administrative and operational tasks Perform light bookkeeping tasks. Step in as needed to support marketing, events, or office initiatives—team-first mentality is a must
Qualifications:
1-3 years of experience in a real estate, legal, or administrative role Familiarity with real estate transactions and terminology (Massachusetts preferred) Strong attention to detail and file accuracy Excellent organizational and multitasking skills Comfortable using technology (Office365 , Dotloop, is a plus) Strong written and verbal communication skills A proactive, team-oriented attitude—no job is “not your job” Paralegal certification or legal assistant experience is a plus but not required
