Attention to detail and commitment to compliance will play a crucial role in finalizing real estate transactions and ensuring that all necessary documents are in order.

Key Responsibilities Objectives Document Review:

Thoroughly review all documents related to real estate transactions to ensure accuracy and completeness. Verify that all required signatures, dates, and notarizations are in place. Input Notary data into each file Confirm 1099 properly completed and mark the file accordingly

Compliance Assurance:

Ensure that all transactions comply with relevant real estate laws, regulations, and internal policies. Complete post-closing document compliance checklist Complete funding compliance checklist Address any discrepancies or issues related to compliance promptly. Obtain funding approval/make sure funding approval is received prior to recording when applicable. Complete title update prior to submitting any documents for recording. Create register notes per disbursement instructions. Mark all appropriate tasks required in SoftPro. Reconcile recording fees in

SoftPro Record Management:

Organize and maintain a well-organized record-keeping system for all transaction documents. Save docs and pertinent emails to file using naming conventions Prepare, Overnight, and track docs for non-Erecord counties Ship loan packages to lender including creating a shipping label when needed

Communication:

Communicate effectively to gather necessary information or resolve issues. Escalate issues to closer/attorney quickly and efficiently Provide updates on the status of transactions. Send On-Record Emails Answer all incoming calls when available Return all calls/voicemails in a timely manner Respond to all emails in a timely manner

Problem Resolution:

Identify and address any post-closing issues or discrepancies promptly and efficiently. Collaborate with relevant parties to find solutions. Communicate with closers on any curative needs

Quality Assurance:

Implement quality control measures to minimize errors and ensure a high level of accuracy in all documentation. Conduct internal audits when necessary.

Collaboration:

Work collaboratively with other departments such as legal, finance, and sales to ensure a seamless post-closing process. Share insights and information to enhance overall operational efficiency.

Timely Completion:

Manage multiple transactions and prioritize tasks to meet established deadlines. Maintain list of files closing today, roll-overs, and next day closings Prioritize files for recording submission based on County deadlines and recording cut offs Miscellaneous recordings – Builder releases, post-closing recordings

Reporting:

Generate reports on post-closing activities, providing insights into the status of transactions and potential areas for improvement. Contribute to regular team and management meetings with updates and recommendations.

Confidentiality:

Handle sensitive information with discretion and maintain the confidentiality of client and transaction details.

Educational Background:

High school diploma or equivalent (required). Additional coursework or certification in real estate, paralegal studies, or a related field is often preferred.

Experience:

Previous experience in real estate transactions, title companies, or related roles is highly desirable. Familiarity with the entire real estate closing process is beneficial.

Technical Knowledge:

Proficiency in using relevant software and tools for document management and verification. Knowledge of real estate laws and regulations.
