Real Estate Office Coordinator 5.0 5.0 out of 5 stars 3415 State Route 11, Malone, NY 12953 We are seeking a highly organized and detail-oriented Real Estate Office Coordinator to join our team. This role is ideal for someone with a strong background in bookkeeping and QuickBooks, who is comfortable managing day-to-day office functions, supporting real estate transactions, and handling mortgage documentation. The ideal candidate is efficient, reliable, and thrives in a fast-paced environment.
Key Responsibilities:
Manage and maintain real estate and mortgage files with accuracy and confidentiality Handle all bookkeeping duties including accounts payable/receivable, invoicing, reconciliations, and financial reporting using QuickBooks Coordinate with lenders, attorneys, and agents to track mortgage and closing processes Oversee general office duties including scheduling, answering phones, ordering supplies, and maintaining a clean, professional environment Support the real estate team with document preparation, listing updates, and file compliance Maintain transaction checklists to ensure all required documents are collected and deadlines met Prepare monthly financial reports and assist with budget tracking Maintain digital and physical filing systems Assist with marketing and social media efforts as needed
