Job Summary:
We are seeking a highly organized and detail-oriented Listing Coordinator to manage the administrative side of the real estate listing process. This role is essential to ensuring that new listings are launched accurately, timely, and compliantly. You will serve as the liaison between agents, clients, and vendors, ensuring a seamless experience for sellers from listing agreement to under contract.
Key Responsibilities:
Coordinate the listing process from signed agreement to going under contract Input and maintain accurate listing information in the MLS and internal systems Prepare listing documents including listing agreements, disclosures, and property information forms Schedule appointments such as photography, staging, and sign installation Communicate regularly with clients and agents regarding listing progress and next steps Maintain compliance with brokerage, MLS, and state requirements for documentation Organize and store all listing-related paperwork in transaction management systems Assist agents in preparing for showings, open houses, and tours when needed Transition listings smoothly to the transaction coordinator once under contract
Qualifications:
Prior experience in a real estate administrative role preferred Familiarity with MLS platforms, DotLoop, and CRM or transaction management systems Exceptional organizational skills and attention to detail Ability to manage multiple deadlines and moving parts Strong written and verbal communication skills Professional, dependable, and client-focused
