The TC Group is a growing real estate transaction management company seeking a highly motivated and detail-oriented Transaction Coordinator to join our team. In this pivotal role, you will be responsible for managing real estate transactions from contract to closing, ensuring a seamless and successful experience for our clients and agents. Responsibilities:
1. Listing Management (Listing to Contract): Oversee all aspects of seller transactions from initial contact through the execution of the purchase agreement. Prepare comprehensive listing materials, including pre-listing presentations, Listing Agreements, and Property Disclosures. Obtain and analyze property data from online property profiles and multiple listing service (MLS) records. Consult and coordinate with sellers on property preparation, including professional photography, staging, repairs, cleaning, signage, lockbox installation, access requirements, and marketing activities. Secure all necessary signatures on listing agreements, disclosures, and related documentation. Coordinate and manage public and broker open houses. Accurately input and maintain listing information in the MLS and various marketing websites. Ensure all required documentation is submitted to the office broker for compliance. Enter and update all pertinent information in the client database and transaction management system. 2. Transaction Coordination (Contract to Closing): Manage all phases of buyer and seller transactions from the executed purchase agreement to closing. Serve as a key point of contact for clients and agents throughout the transaction. Meticulously review all documents for accuracy, ensuring all initials, signatures, and dates are correct, including any necessary addenda. Monitor and confirm the buyer’s earnest money deposit is received and held in escrow according to deadlines. Coordinate with attorneys, title/escrow companies, mortgage lenders, and appraisers. Schedule and track inspections, and assist with the management of contingency deadlines, repair negotiations, and waiver processes. Provide proactive and consistent communication with clients, agents, title officers, and lenders regarding timelines, updates, and required actions. Prepare and submit all necessary documentation to the office broker for file compliance. Coordinate moving and possession schedules. Arrange ancillary services such as home warranties. Coordinate and attend the final walk-through. Review closing statements for accuracy and resolve any discrepancies. Schedule and coordinate the closing process. Input and maintain comprehensive client information in the client database system post-closing. Maintain organized and accurate records of all transaction documents and files.
Qualifications:
High school diploma or equivalent (GED) required; some college experience preferred. Prior experience in transaction management, transaction coordination, real estate, title, or mortgage industries is highly desirable. Exceptional organizational and time-management skills with the ability to prioritize tasks effectively. Excellent verbal and written communication skills. Strong interpersonal skills and a focus on delivering outstanding customer service. Ability to work independently and collaboratively in a fast-paced, deadline-driven environment. Proficiency in Microsoft Office Suite, Apple/Mac OS Systems and client database systems.
