Job Description

Position Summary
The Returns Coordinator will be responsible for managing the returns processing for incoming exchanges and returns from customers and engineers. The Returns Coordinator will work closely with the Inventory Manager to research and process vendor exchanges and returns, and the Parts Support Manager to act as a liaison between the sales team and Avante customers and service engineers for tracking inbound exchanges and returns. This candidate will also be responsible for performing research on non-conforming items to enhance the receiving process. Duties and Responsibilities

  • Facilitate the return of defective purchased products due to vendors
  • Assist in the return of vendor exchanges to external vendors to avoid additional billing
  • Support the sales team with contacting Avante customers and service engineers regarding returns and exchanges
  • Review and maintain the exchange and returns dashboards to ensure timely return of equipment
  • Process customer core fees for non-return of exchanges
  • Research and process non-conforming items received for diagnostic imaging and oncology
  • Manage and maintain the core warehouse which includes preparing equipment for repair, scrapping, or transporting equipment to the core warehouse
  • Perform adjustments to remove core equipment from inventory
  • Collaborate with various internal departments on RMA returns, cores, and credits
  • Maintain, review and update process documentation, and creating new documents as required
  • Perform other duties as assigned
  • Ensure all administrative quality standards and documentations are met, and recorded according to the Quality Management System (QMS) requirements, including final inspections prior to customer shipments leaving the building
    Education and Experience Describe the education and job experience (including number of years) required.
  • High school diploma or General Education Degree (GED) required, 4-year college degree preferred
  • 1 to 2 years of relevant work experience
    Other Requirements Describe other skills (e.g. communication, math, reasoning, etc.), licenses/certifications.
  • Excellent communication skills (written and verbal) are essential. Must be able to convey information by telephone, email, and in-person; read and interpret documents; and effectively communicate in one-on-one and group situations, which may include customers, vendors, and/or other employees
  • Basic math skills required, and must be able to accurately calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages
  • Proficient with Microsoft Office, including Word, Excel, and Outlook
  • Able to work in a fast-paced environment while juggling multiple projects/tasks to meet deadlines
  • Ability to resolve problems quickly involving several variables with limited supervision
  • Ability to work with others in a team environment to complete projects
