E Primary Purpose of Position:
This position has the responsibility of promoting, coordinating, and managing rental events occurring at the venues of Fort Fisher State Historic Site. The position’s main responsibility is to coordinate and direct NCDNCR-approved rental events for the site from the point of contact to event conclusion and clean-up. Key Responsibilities include but are not limited to: Gathering information about the host’s objectives, budget, and preferences; and plans, organizes logistics, manages event operational activities, and provides oversight of resource scheduling, caterers, and vendors to ensure a successful event.
Facilitating and coordinating with renters for contracts, confirmation of date, submission of logistics and timeline for the event and compliance to site policies and rules for hosted events.
Providing exceptional customer service, hospitality, and satisfaction to a broad range of clients and events.
Ensuring that events comply with insurance, health, and safety standards, to include state, county and city codes and regulations.
Promoting and scheduling site venues through networking and answering inquiries; drafts and executes venue contracts; submits invoicing and assures that payments are received and coded appropriately.
Working collaboratively with internal departments to comply with site policies and procedures and provides logistical planning forms in advance to all departments.
Position/Physical Requirements:
Must have the ability to work Tuesday – Saturday, 8:30am – 5:00pm, including some nights and weekends.
Ability to give tours of available rental venues, both indoor and outdoor with or without reasonable accommodation.
Must have the ability to communicate, verbally and in writing, with a diverse constituency.
Must have a valid driver’s license issued from within the United States or be able to obtain one within 90 days of employment.
Must have the ability to lift objects up to 50 lbs., climb ladders, carry, pull, and push objects, stand for long periods of time, stoop, reach, walk distances of up to a football field length, grasp and perform some repetitive motion with or without reasonable accommodation.

Qualified candidates must have or be able to: Demonstrated experience with planning and orchestrating outdoor rental events with guest lists up to 150 in attendance and indoor events with guest lists up to 100 in attendance.
Knowlege of project management including problem solving that shows the ability to handle the planning of rental events from start to finish.
Customer service and hospitality experience.
Management Prefers:
Experience with special event planning at museums, historic sites, universities, country clubs, tourism destinations, special event and wedding facilities, or convention centers.
Knowledge of event risk management including familiarity of ABC permit regulations, event insurance liability, health inspections, and tent permitting.
Knowledge in performing basic accounting.
Experience in budgeting and invoicing with PCI- compliant accounting procedures.
