POSITION SUMMARY
The primary objective of this position is to ensure nutritious food is accessible and distributed in a timely manner to our Partner Services and Client Services programs. The AM manages the coordination and interface for food flow between internal support departments (Food Industry and Operations) and external programs and services (Network and Client Services), taking into consideration the policies and guidelines of FSF, Feeding America, Dept. of Health, FDACS, and USDA. The AM supervises our allocation team ensuring all job responsibilities are met, and gaps are filled as needed. This position has a strong operations background with a hybrid ability for customer service, account management, and ability to work with a diverse community toward our mission of ending hunger in South Florida.
SALARY:
$60,000 – $75,000 per year
POSITION RESPONSIBILITIES
Leadership and Strategy Train and manage new and existing teams, establish team goals and hold team members accountable. Maintain weekly and monthly reports on pounds and products distributed by county, item category, and other variables as required to evaluate department performance and address interdepartmental inquiries. Monitor and review HungerNet for best practices, systems, and methodologies on food distribution initiatives Forecast demand from Partner Services and Client Services for proteins, grains, fruits, vegetables, and dairy, and request procurement from Food Industry. Utilize FA Nutrition in Food Banking Toolkit , Healthy Eating Research, and USDA’s My Plate guidelines for allocating food. Set the example for a professional and high-performance culture by maintaining a positive work attitude, communicating courteously, and creating a culture of service with all stakeholders. Apply Feeding America’s Agencies, Partners, & Programs toolkits and resources to improve FSF food distribution initiatives. Ensure that Standard Operating Procedures are written, accurate, executed and kept current. Food Allocation Lead the allocation team in the distribution of FSF annual goal for pounds distributed. Ensure Healthy Eating Research and USDA Myplate guidelines for allocating food. Oversee repacking/sorting and building of FSF value added products and senior food boxes to satisfy program demands. Supervise Production operations. Manage the workflow of our Production Coordinator and provide the food and supplies to complete production goals and sanitation procedures e.g. daily sanitation checklist. Supervise the daily allocation of perishable food and dry assorted binned items. Maintain FA current compliance threshold for Meals per Person In Need (MPIN) for our service area. Conduct monthly analysis of distribution initiatives, goals, and identify improvements. Maintain a Monthly Delivery Schedule (MDS) shared with Transportation and program managers. Complete the food distribution sections for FA Quarterly Pulse Report (QPR) and Network Activity Report (NAR) by the published deadlines. Supervise the management and distribution workflow for our web-based Agency Express (AE) online ordering platform. Establish and maintain a weekly plan to distribute all incoming food and non-food across our network and programs, supporting the Allocation Coordinator with the daily allocation calculator. Relationship Management for Food Allocation Create and maintain a database of contacts and relationships in collaboration with Partner Services to recruit as temporary community partners to serve as pop-up distribution venues when the supply of food exceeds our network capacity. Liaise with Feeding America, Feeding Florida and other stakeholders as it relates to food distribution, working with Development, Partner Services and Client Services to understand overall food distribution and relationship goals. Ensure exceptional relationship management with Food Industry, Partner Services and Client Services teams. Use research from Map the Meal Gap to better direct our food distribution initiatives towards local food insecurity across our service area. Produce accurate and timely distribution reports as required by the leadership team, Feeding America, Feeding Florida, the United States Department of Agriculture (USDA) and donors.
POSITION QUALIFICATIONS A
bachelor’s degree is preferred in production and operations management, business, or minimum of 5 years’ experience in food & beverage sales, distribution, or account management. Minimum of 3 years’ experience managing, developing, motivating, and coaching teams in order entry and fulfillment. Understanding of handling and storage of shelf-stable, refrigerated, and frozen food. Experience with warehouse database management software. Ability to work in a fast-paced environment with multiple deadlines and responsibilities, while simultaneously maintaining composure and ensuring excellent customer service. Experience in establishing and executing sound business practices and metrics including demand forecasting, scheduling, and evaluation of impact and results. Positive attitude, flexibility, professionalism and good sense of humor. Sensitivity to diverse populations with the ability to serve people in a compassionate, patient, friendly, and courteous manner, showing sincere interest in people’s concerns. Attention to detail, accuracy, and deadlines. Strategic thinking, analytical and problem-solving skills. Strong computer skills in a Microsoft Office environment. ServSafe® training or the willingness to obtain certification. HAACP and AIB experience is a plus. Forklift and warehouse equipment certification or the willingness to obtain certification Passion for the Food Bank’s vision, mission and core values.
PHYSICAL DEMANDS & WORKING CONDITIONS
Hours of Operation:
Although organization hours are Monday-Friday, 8:00 a.m. – 5:00 p.m., this management position will work closer to 50-60 hours per week, especially during peak times such as holiday seasons, growing seasons, and disaster response. After-hours business work is required occasionally throughout the year.
Environment:
This position works in an office/warehouse environment as well as occasionally on the road. There may be extended periods of sitting, standing and/or bending; listening, talking and/or visual concentration; writing and/or computer use. Occasional work will occur in the warehouse or outside at mobile distribution sites in inclement weather. The noise is the work environment is usually moderate to loud.
Disaster Operations:
In instances of a federal, state, or locally declared emergency, FSF is typically considered an essential service and emergency responder; all employees may be called in to perform regular or emergency duties.
Travel:
FSF serves four counties so there is often same-day travel between the counties, using a personal vehicle, and occasional out-of-town travel for meetings, conferences, or special events. FSF offers reimbursable travel costs for covered expenses.
OSHA Standards:
Lifting requirements are 50 pounds and when lifting loads heavier than 50 pounds, use two or more people to lift the load.
