DEFINITION:

The Parks & Recreation Department is seeking a Department Assistant! This position is responsible for performing various types of professional administrative and financial work to support the operations of the bustling Parks and Recreation Department.

ESSENTIAL FUNCTIONS

Maintains departmental personnel records and files. Responds to program questions from the public; provides front desk coverage when needed. Assists in entering data regarding program participants in software program. Tracks departmental financial accounts and maintains ongoing accounts; sets up new accounts. Prepares various financial reports for Recreation Commission; provides financial information to outside auditors. Performs bookkeeping for all accounts and revolving funds; including overseeing accounts receivable and accounts payable transactions and reconciling credit card statements. Prepares and makes bank deposits and reconciles deposits with City Treasurer’s office. Prepares invoices for payment and computer entry. Researches and provides data for future financial initiatives; e.g.; grant applications. Performs special financial projects as needed; including researching replacement costs for items. Contacts vendors regarding billing and payment; contacts program participants regarding cancelled checks and payments. Prepares and enters department bi-weekly payroll and signs payroll and invoice documents in absence of Director and Assistant Director. Attends Park and Recreation Commission meetings. Performs similar or related work as required.

Education and Experience:
Education and Experience:

High School degree; including or supplemented by courses in accounting; office procedure and word processing and more than one year; up to and including three years; of office experience; preferably in a municipal office that deals with the public; or any equivalent combination of education and experience; required. Knowledge;

Ability and Skills:
Knowledge:

Knowledge of office practices and procedures; knowledge of department operations and functions.

Abilities:

Ability to organize and maintain detailed and extensive records; ability to work with various computer applications. Ability to work effectively under time constraints to meet deadlines. Ability to interact appropriately and effectively with the general public.

Skills:

Mathematical skills; skilled in accounting. Skilled in computer applications and data entry; organizational skills; time management skills.

Physical Requirements:

The work involves physical skills typical of an office environment; including sitting; standing; walking and stooping. May be required to lift objects such as files; boxes of papers; office supplies; and office equipment weighing up to 30 pounds.

$22.26 – $28.90

Current Anticipated Hourly Hiring Range:

$22.26 – $25.06 FY26 Pay Rates are currently in negotiations. Full Benefits and privileges are consistent with the Clerical American Federation of State County and Municipal Employees (AFSCME) Collective Bargaining Agreement.
