Duties include assisting the Key Shop Manager in maintaining key control for the master keys in Traka boxes around campus; regularly updating the list of issued keys to the boxes; training personnel on Traka box use, as well as key issuance and return policies. The Key Shop Coordinator will maintain a physical asset tracking system for the key rings & related equipment, as well as leading by example towards safe and efficient operations. The Key Shop Coordinator needs to be the public point of contact for the Key Shop, working closely under the direction of the Key Shop Manager to achieve the operational goals of the department. Work Unit :

Facilities provides facilities support for all construction, renovation, and routine maintenance of university space and facilities; housekeeping services for approximately 5.8 million square feet of academic, administrative, residential, and recreational space; grounds care for 330 acres that are a registered arboretum; turf care for athletic fields; and utilities for Vanderbilt University.

Duties and Responsibilities:

Assists the Key Shop Manager in organizing and maintaining the Traka boxes throughout the campus. Builds, maintains, and augments the physical key tag tracking system to work in concert with the Traka System. Maintains the Key Issuance Registry, a log of every key issued to staff on campus. Assists the Key Shop Manager in training faculty and staff on campus about Vanderbilt’s Key Control Policy, including key issuance and return. Works in collaboration with the locksmiths in VU Key Shop to make sure the correct keys are cut and placed on secure rings for Traka System, replacing keys as necessary. Administers regular key issuance and return to faculty and staff, including maintaining records of keys issued and returned. Assists VUMO stakeholders in future Key Shop projects. Troubleshoots any Traka System or Key Tracking issues with VUMO IT. Assists the Key Shop Manager in ensuring regular preventative maintenance is performed on Traka and Key Tracking components, including changing batteries or RFID tags. Maintains records of work performed. Exemplifies stellar customer service skills with our stakeholders, faculty and staff to raise the profile of the VU Key Shop to be more client focused and forward-facing. Notifies Key Shop Manager when special circumstances or problems arise; assists in making decisions to resolve issues or problems arising from current Traka Policies or staff misuse. Cuts keys to assist during peak demand periods. Other duties as assigned. Leadership Assists the Key Shop Manager in maintaining and improving the structure of the Traka Asset Management System and provides timely metrics on system status to the Key Shop Manager. Acts as an administrative backup for Head Locksmith when the Key Shop Manager is on leave.

Supervisory Relationships :

This position does not have supervisory responsibility. This position reports administratively and functionally to the Key Shop Manager, as well as the Assistant Director of Services.

Education and Certifications:

A high school diploma or GED is required. Post-secondary education is preferred.

Qualifications:

5 years of related experience in forward-facing customer service, with heavy organizational experience is required. Experience in auditing and record keeping is preferred. Demonstrated effective written and verbal communication, interpersonal, and teamwork skills are required. A positive and productive approach to problem solving and work relationships is required. Excellent organizational skills, record-keeping abilities, and attention to detail are required. Demonstrated skills utilizing Adobe Acrobat and Microsoft Office applications is required. A valid TN driver’s license and ability to satisfy Vanderbilt University MVR requirements is required. Experience with work order management systems is preferred. Previous facilities maintenance and operation work experience is preferred.
